BASIC FUNCTION AND RESPONSIBILITY

The University of Michigan, School of Nursing (UMSN), Office of Practice and Professional Graduate Programs is seeking a Graduate Student Academic Advisor. The Academic Advisor will manage all aspects of the academic advising process for the School of Nursing, Office of Practice and Professional Graduate Programs. This position will perform extensive file review and make decisions and recommendations on academic advising for graduate students in a variety of Advanced Practice Nursing (APRN) Program Specialties and Doctorate of Nursing Practice Programs. This position will be responsible for monitoring academic advising processes to meet the diverse needs of students and will also coordinate advising related issues with students, faculty, and staff including internal and external constituencies to the School of Nursing as necessary. This position will promote learning and enrich activities for diverse student populations and assist with graduate student focused activities such as orientation, lunch and learn sessions, graduation and diversity and inclusion initiatives.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

  • Provide academic advising for new and continuing graduate students on course selection and programs of study. Review students’ academic records for progress towards degree, compliance with degree requirements, and eligibility for graduation and degree audits.  Provide final degree lists to the Office of the Registrar. Certify student eligibility for the various specialty certification programs nationally and verify programs of study for state licensure as an APRN.
  • In the Graduate Academic Advisor role, provide guidance, assistance with approval for graduate students who need to make course selection changes or to adjust their academic program plans.
  • Assist students with long- and short-term academic planning, from orientation through graduation in appointments, group meetings when appropriate, and via email. Provide accurate information about university and school requirements/options. Help with discovery and exploration of new areas in students’ educational plans. Encourage intellectual ambition and achievement.
  • Serve on committees which interpret the academic policies, approve exceptions to school requirements, and make determinations on School and academic discipline issues. Exercise judgment and fairness when making decisions involving exceptions and discipline issues.
  • Work extensively with the M-Pathways Student Administration System, databases, work processing systems, e-mail and the Internet. Provide reports, trends and statistics on current and historical advising trends. Make recommendations to the Associate Dean for Practice and Professional Graduate Studies and senior management on the impact of policies and procedures.
  • Respond to correspondence, telephone, and email inquiries related to academic advising matters, deadlines, questions, and curriculum clarification. Interpret School and University policies and procedures in response to queries.
  • Act as a liaison to all student service programs on campus and make appropriate referrals. Monitor student success and student resources. Orient students to academic programs and University services.
  • Plan and participate in all graduate student orientations for new students. Assist with administrative and operational activities as it relates to current student events including, but not limited to Fall welcome activities, Spring commencement and others.
  • Work in collaboration with the Associate Dean, Academic Program Directors, Program Leads, Department Chairs, and other faculty to support student matriculation, progression and graduation.
  • Provide assistance staffing UMSN academic committees as necessary.
  • Serve as an advisor to students with academic, progression or program completion challenges including the grievance process and provide guidance to faculty about these processes.
  • Collaborate with other student facing departments and staff to identify opportunities to promote student support services that augment academic success such as health and wellness programing, stress management as possible examples.
  • Provide excellent customer service to internal and external customers. Provide effective communication with team members and other offices internal and external to the School to ensure seamless process. Provide accurate and timely follow-up with faculty, students, staff and prospective students and families.
  • Coordinate advising processes with Office of Practice and Professional Graduate Programs team, faculty and staff in the School and at the University. Continuously review advising guidelines and procedures and processes for improving efficiencies.  Develop advising analysis and reports. Identify and pro-actively resolve issues related to advising issues.
  • Work to create and maintain an open, safe, and inclusive environment for all students.
  • Participate in diversity and inclusion initiatives for graduate students specifically and within the School of Nursing generally.
  • Educate and provide feedback to Office of Practice and Professional Graduate Programs team, current and prospective students and their families as it relates to advising.
  • Participate in the orientation and training of all team members in the Office of Practice and Professional Graduate Programs to support a cohesive, well-functioning team within the Office and led by the Associate Dean.
  • Participate in activities to promote own continued learning and professional growth.

Required Qualifications*

NECESSARY QUALIFICATIONS

Education and Experience:

  • A bachelor’s degree is required; master’s degree strongly preferred.
  • Licensed Professional Counselor (LPC) strongly preferred.
  • Three (3) + years of academic advising experience is necessary, and preferred with graduate advising.
  • Academic advising experience in higher education required.
  • Familiarity with databases, PeopleSoft and data systems is strongly preferred.
  • Candidate must have excellent communication skills, with the ability to receive and convey information clearly and concisely for various mediums. Must have very strong interpersonal, presentation (large and small groups) skills and organizational skills, and the ability to work effectively with diverse groups.
  • Demonstrated analytical and critical thinking skills are required for this role.
  • Demonstrated advanced proficiency with Microsoft Office products (Word, Excel, Outlook and PowerPoint).

  • Extensive knowledge with Business Objects queries and M-Pathways student system preferred.
  • Prefer knowledge of nursing field or related field.
  • Working knowledge of applicable University policies and procedures is preferred.

Work Schedule

Shift/Hours/Days:  8:00 a.m. - 5:00 p.m., Monday through Friday; may include some occasional weekend and/or evening hours.
