Provide patient care support service to patients by managing patient care support and health care administrative workflows for the Pediatric Endocrinology services.
Specific duties include, but not limited to:
- Manage the prior authorizations (PA) process for medications and medical supplies/devices; resolve and navigate the authorization process by working with the educators, referring physician offices, patients, pharmacies, and patient insurance
- Manage and process patient required documentation such as Certificates of Medical Necessity, Letters of Medical Necessity, DME forms, Blood Glucose logs and other forms under the directions of the providers and educators
- Manage the prescription and medical supply/device refill requests
- Manage the referral/scheduling process for new onset patients, transfer patients, and patient education/training appointments to ensure patients receive timely medical services
- Manage the fax server and triage the incoming patient care document; image medical records including BG logs, labs, and outside records in the medical record system
- Handle patient inquiries for medical follow-up via messages in the electronic medical record (EMR) system
- Maintain patient education database for DSME assessments and class records
- Manage the treatment plan for patients with Children’s Special Health Care Services coverage to ensure care and billing compliance
- Manage team calendar
- Compile and assemble patient education material
- Send out patient care related communications such as travel letters and school letters on request
- Proactively organize classroom and clinic inventory including the class handouts, staff room stock, and patient take-home supply bags
- Mail out diabetic and insulin pump supplies on request
- Coordinate coverage with co-workers to ensure the continuity of daily workload
- Update patient data in the EMR system
- Other duties as assigned by the Division Administrator, Medical Director, and the Pediatric Diabetes Management Program leadership
Current Medical Assistant (MA) certificate. Minimum two years of direct experience in healthcare support and administration. Knowledge of and familiarity with the medical terminology. Experience and proficiency in utilizing computer including standard business computing programs and EMR. Competency in working at both outpatient clinic and physician office settings.
Effective oral and written communication skills with external customers and team members at all levels of the organization. Must be ethical, professional, and team-oriented with proven record of sound decision making within the prescribed authority and job duties. Multi-tasking is an essential part of the position. The right candidate will need to be able to process patient care tasks by engaging patients/families on the phone, navigating the computer system for correct information, and making timely decision on the best course of action. Ability to represent the unit to the external customers in a professional and positive manner. Proven ability to prioritize tasks, follow through with directions, and meet deadlines. Excellent attendance record. Ability to work under pressure and maintain composure.
Relevant and current patient care support experience in academic medical practice setting. Knowledge of UMHS policies and guidelines.
Required work hours: Monday through Friday, 8 am to 5 pm. Occasional flexibility of work hours during work week may be necessary as determined by patient care support needs. This is a 40 hour/week, full time position.
