Job Summary

The School of Public Health at the University of Michigan (UM-SPH) is a diverse learning community seeking to create and disseminate knowledge with the aim of preventing disease and promoting the health of populations worldwide. The Student Affairs Assistant will share some front desk support for the Office for Student Engagement and Practice (OSEP) and provide main support to the Student Affairs Team.  Support will include, but will not be limited to, communication with prospective students, application processing, registrar clerical support, and team logistic coordination. This position will report directly to the Director of Student Affairs.

 

Responsibilities*

Admissions Support :

  • Triage phone, email, walk-in and webform submission inquiries- answering some and assigning others as needed.

  • Assist in recruitment logistics by entering recruitment activities in the school event listings, coordinate logistics for admissions webinars, shipping materials to venues and assist in travel coordination for student volunteers when needed.

  • Monitor application fee payments during the admission cycle.

  • Coordinate our yield recruitment mailing campaigns efforts to admitted students.

  • Triage conduct application questions for severity- alerting Director or Assistant Director of Student Affairs as needed.

  • Perform applicant residency screening, as defined by the Residency Office.

  • Image all relevant communications with applicants for electronic record keeping.

  • Provide administrative support for all major admissions related meetings throughout the year.

 

Registrar Support :

  • Respond to email inquiries in the registrar ticketing system- as assigned by School Registrar

  • Imaging of any paper based forms, such as degree audit worksheets or term withdrawal slips, for electronic student record keeping.

  • Under the guidance of the School Registrar, approve credit limit override requests in M-Pathways for all public health students.

  • Under the guidance of the School Registrar, approve credit reduction requests in M-Pathways for all public health students.

  • Under the guidance of the School Registrar, approve routine types of grade change requests in M-Pathways for all public health students.

  • Additional projects delegated by Director of Student Affairs and School Registrar

 

Overall Team Support :

  • Support the Director of Student Affairs in managing meeting invites and appointments.

  • Back-up publishing role for our SPHappenings student e-newsletter.

  • Provide administrative support for all Student Affairs team meetings, including agenda and minutes .

  • Assist Director of Student Affairs in monitoring progress of team goals and objectives

  • Under direction of the Director of Student Affairs, lead team building efforts, which can include team outings, milestone celebrations, etc.

 

Front Desk Back-up :

  • Greeting students, staff and faculty, answering general inquiries and mail sorting when front desk lead is absent or on lunch.

Required Qualifications*

Bachelor’s degree or equivalent and 2+ years of relevant experience, exceptional customer service skills, excellent attendance record, considerable experience performing office duties, excellent computer skills with high proficiency in Microsoft Office, Google product suite, and excellent organizational and interpersonal skills working with in a diverse team environment.
