Job Summary

Michigan Medicine’s Health Information Technology & Services (HITS) Department seeks a Business Systems Analyst to join our EHR Application Infrastructure team within the Architecture and Operations Management (AOM) division.  Ideal candidate has the agility to facilitate execution of multiple enterprise-wide strategic projects and initiatives to support the organization’s Epic based EHR (electronic health record) platform services and infrastructure. The role requires the individual to be organized, strong in project coordination, and has a technical background with a general understanding of the technical infrastructure and staff, including servers, storage, network, and desktop support teams.

Under general supervision, successful candidate will coordinate infrastructure planning, optimization changes, and production support for the Epic based EHR system.  This position will analyze, develop and implement processes to ensure we maintain a reliable, secure and responsive system.  Create process change by integrating new processes with existing ones and communicating these changes to impacted teams. May lead workgroups and act as project manager in some cases.  At various stages of project and support work, individual will be responsible to collect system and workflow requirements, define and document use cases for the development of technical solutions extending the functionality of the system, services for data exchange to secondary systems, and supporting tool sets for these initiatives as well as developing operation support procedures and supporting documentation. Assist in capacity planning and preparation for Operating and Capital budgets.  Prepare reports, presentations, and correspondence for management review.

The role also supports demand, project and portfolio management activities.  Collect and collate technical information and coordinate technical resources to ensure organization’s best practices are being met and support both internal and external system audits and assessments.  These responsibilities will result in efficient, standardized, appropriate process changes that will be integrated and communicated to management and groups.

This position requires the ability to work in a fast paced and complex environment.  Requires excellent people skills, verbal/written communication skills and ability to think critically.  This position will provide guidance/training to more junior staff and will require occasional weekend work for system upgrades.

Responsibilities*

Business Analysis

  • Maintain regular communication between various teams and service customers for processes and system changes impacting the EHR environment
  • Collaborate with vendor representatives, the U-M business community, and end users to ensure the system meets the organization’s business needs
  • Perform in-depth analysis for system service enhancements
  •  Analyze business operations as they relate to design decisions
  •  Analyze new technical functionality in releases to determine how it should be used and/or impacts existing functionality
  • Coordinate implementation of changes following organization’s change control processes and procedures
  • Perform strategic business process modeling, traceability and quality management techniques to guide operational decision making and budget formulation
  • Develop workflow and use case scenarios to effectively communicate business processes and integration/touch points in the IT enterprise
  • Work with development teams to refine requirements into development-ready user workflows and to define user acceptance test criteria
  • Ensure system requirements are compliant with relevant current and evolving organization policies
  • Analyze requirements to help team determine the best technical solutions

Project Planning & Management

  • Plan and coordinate hardware and software changes across multiple support teams for the Epic environment, including but not limited to: servers, network, storage, backup, operating systems, virtualization platforms, and desktop devices
  • Lead and support technical projects using project management best practices, including but not limited to: Developing detailed work plans, schedules, estimates, and resource plans, conducting project meetings and managing status reports
  • Facilitate the planning, scheduling, and implementation of system maintenance activities
  • Support infrastructure capacity planning and monitoring activities
  • Collaborate with stakeholders to document standardized processes and map in process flow charts, as well as identify opportunities for process automations and improvements
  • Provide planning, coordination and facilitation of meetings with key stakeholders and software applications
  • Provide strategic analysis on business processes to help streamline existing workflows
  • Track technical issues and coordinate issue resolution
  • Coordinate system changes
  •  Participate in the planning, review, testing and release processes
  •  Collect information regarding potential system enhancement needs
  • Prepare detailed of specifications as needed
  • Coordinate and schedule patch deployments and system updates following departmental change control policies and system downtime plans
  •  Define and document processes and schedules for applying maintenance changes to the EHR environments
  •  Manage and track impacts to ancillary systems related to EHR changes
  • Communicate process and coordinate schedule for applying system maintenance

Documentation & Support

  • Track and report on vendor licensing and support model details
  • Maintain system protocols and procedures
  • Prepare technical reports by collecting, analyzing, and summarizing information and trends.
  • Develop, document and maintain internal team processes and procedures.
  • Collaborate with key stakeholders to establish, document, and maintain OLAs and SLAs
  • Participate in system audits and maintain referential repository
  • Support system maintenance and disaster recovery objectives for the system
  • Routinely assess current processes, identify inefficiencies and work with key stakeholders for continuous improvements
  • Develop agendas and meeting content details, facilitate meetings, capture key points, document decision points and agreements and track follow up tasks to completion
  • Troubleshooting problems and questions from customers

Required Qualifications*

Senior Position Requirements:

Education and Experience

  • A bachelor's degree or better in computer science, information systems or a related field.
  • 5 years+ experience in healthcare related field or equivalent combination.

Expertise

  • Experience with diverse operating environments, applications and equipment.  
  • Demonstrated ability to work in a complex computing environment with competing priorities.
  • Must be knowledgeable of general industry practices for managing the deployment of functional configuration build, services and infrastructure changes through multiple environments supporting turnkey enterprise class EHR systems. 
  • Demonstrated in depth understanding of delivery and support of enterprise class systems and support of the end-user community.
  • Basic understanding of business systems and industry requirements. Includes analysis of business and user needs, documenting requirements, and revising existing system logic as necessary.
  • Proven success in project coordination and general project management.
  • Proficiency with desktop management software, including Microsoft Word, Excel, PowerPoint, Project, Visio, OneNote, and screen capture tools, e.g., Snippit, SnagIt.
  • Knowledge and proficient with collaboration, knowledge base, and Incident/Change Tracking tools, i.e., SharePoint, Confluence, Jira, and Service Now.

Intermediate Position Requirements:

Desired Qualifications*

  • 10+ years of experience in the Information Technology field in a Business Systems Analyst or other technical role of which 7+ years of that work experience being in the healthcare sector.
  • Advanced experience performing project coordination duties and well versed in project management.
  • Experience with Epic EHR system.
  • Experience collecting and defining web service requirements for clinical systems.
  • Working knowledge of HL7 messaging.
