Purpose

This director’s position is critical to the successful support of a wide range of activities for approximately 220 faculty and more than 350 staff.   Reporting to the Senior Associate Dean for Faculty and Research, the successful candidate is responsible for maintaining an effective infrastructure of approximately 40 administrative support staff, including financial transaction specialists, faculty support coordinators, academic area administrators, and administrative assistants. The director is also responsible for administering school-wide budgets for office supplies, instructional expenses and materials, and student graders and tutors. Overall, the director oversees an operating budget of approximately $3M.

Operational Management and Staff Supervision – Faculty Support and Administrative Core Team   

  • Direct short and long-term strategic planning activities for two departments to ensure organizational efficiencies and effectiveness
  • Provide leadership in creating a high performance, collaborative and diverse work environment.
  • Ensure high-quality administrative support, customer satisfaction, and efficient operations for two departments, through training, coaching, continuous process improvement, and quality assurance
  • Provide supervision for 10 direct reports and provide overall supervision for 30 full-time employees
  • Manage recruitment and selection processes
  • Identify training needs and opportunities and encourage career development
  • Manage performance and annual salary program processes
  • Ensure staff have adequate resources
  • Review, develop, implement, enhance and communicate processes, procedures and policies to ensure effective management of two departments

Client Relationship Management

  • Understand and evaluate the needs of clients – individual faculty, Academic Departments, and Operational Departments of Ross.
  • Build strategic partnerships with units throughout the school and the University, particularly shared service units such as Ross Finance, Ross HR, Ross Operations, Ross IT Support, and the UM Shared Service Center
  • Address client concerns on an ongoing basis as they arise
  • Oversee workload across units and re-adjust areas of responsibility and client portfolios as appropriate to maintain smooth operations.

Financial Management

  • The director has financial responsibility for 2 departments plus several school-wide budgets.
  • Develop and monitor budgets for the Faculty Support and Administrative Core Team departments
  • Develop and monitor budgets for School’s student temporary grader and tutor workforce and general supplies budgets for both academic areas and staff areas, as well as instructional expenses for the academic areas
  • Review and approve travel and expense reports for area administrators and academic area chairs
  • Oversee the management of academic area funds and individual faculty research discretionary funds

Other

  • Oversees proctors for examinations and provision of accommodations for students with disabilities.
  • Complete special projects as requested by school leadership
  • Oversee and maintain the quality of websites and other information resources used by the departments, both internal and client-facing
  • The director is expected to contribute to the School and University environments.  The director represents the Faculty Support and Administrative Core Team on School committees, provides assistance to other School departments on administrative needs and participates on university-wide policy and advisory committees and task forces.

Required Qualifications*

  • Bachelor’s degree and significant and progressive experience in related positions, of which 5 years of management/supervisory experience
  • Demonstrated leadership skills including team building, effective communications, strategic thinking, problem solving, ability to motivate and collaborate with others in a decentralize environment and implement change
  • Demonstrated track record of building a positive work culture
  • Extensive experience with UM policies and procedures.  
  • Ability to work independently, manage multiple priorities in a fast-pace environment and meet deadlines
  • Strong analytical and financial management skills
  • Awareness of the role of technology in streamlining processes and a very high degree of proficiency in Microsoft office products
  • Ability to exercise discretion and judgment, especially in HR matters and other confidential matters; ability to work and plan independently
  • Ability to confidently recommend changes, experiment with new ideas and organize staff to meet new challenges

Desired Qualifications*

  • MBA or related advanced degree
  • Experience with UM enterprise systems including Business Objects
  • Interest or experience in business school industry
