Responsibilities*

50%    Operations Supervision

  • Supervise day to day operations for the department with independent decision making authority.
  • Develop and maintain department policies and procedures.
  • Recommend operational changes based on interpretation and analysis of the effectiveness of operations in supporting department goals.
  • Act independently to resolve operational problems that may interfere with department objectives.
  • Participate in department management meetings and decision making.
  • Supervise all activities related to facilities.
  • Identify office equipment needs including maintenance and replacement. Research and select new equipment.
  • Independently work on special projects as assigned by the department director.
  • Ensure that the general administrative needs of the department are met.
  • Ensure that information about the department, internally and externally, is accessible and accurate.

 

30%    Budget Supervision

  • Prepare and maintain department budget and financial accounts.
  • Monitor budgets and prepare annual and monthly projection reports.
  • Initiate budget recommendations that enhance department objectives and promote responsible use of resources.
  • Monitor, control and verify department revenue and expenses against all restricted and non-restricted accounts.
  • Assess and validate department fees and handle recharge rates.
  • Manage vendor contracts.
  • Generate standard and ad-hoc financial queries and reports to meet the business needs of the department.
  • Prepare department financial data for divisional budget planning and reporting purposes.
  • Ensure department compliance with U-M financial management policies and procedures.

 

20%    Personnel Supervision

  • Supervise and coordinate department human resources activities for full-time, temporary and work study students. This includes: recruitment, hiring, termination, salary and disciplinary actions.
  • Coordinate activities with the divisional human resources department.
  • Train all new staff members on department policies, procedures and systems.
  • Ensure department compliance with U-M human resource policies and procedures.
  • Select and supervise front desk staff including receptionists and temporary staff. Manage their performance to ensure that they provide services consistent with student needs and department objectives.

Required Qualifications*

Admin  Asst Senior

  • Minimum of an Associates Degree
  • Minimum of four years of financial analysis, financial management and administrative support experience.
  • Minimum of two years experience coordinating the operations of an office dealing frequently with crisis management.
  • Minimum of two years experience coordinating personnel and human resource activities.

     

Admin  Asst Intermediate (underfill)

  • Minimum of an Associates Degree
  • Minimum of two years of financial analysis, financial management and administrative support experience.
  • Minimum of two years experience coordinating the operations of an office dealing frequently with crisis management.
  • Minimum of two years experience coordinating personnel and human resource activities.

Desired Qualifications*

  • Demonstrated proficiency with M-Pathways Financials and Human Resource systems and Business Objectives.
  • Have some sign language skills and knowledge of adaptive technology and the ability to use braille.
  • Experience working with individuals with disabilities
  • Experience working with college age students that are in crisis with a demonstrated ability to respond to the student sensitively and professionally.
