Job Summary

Manages the daily operation of a regional group (subdivision) within the International Institute to create an effective and robust administrative structure to support and promote optimal regional functioning. Commitment to establishing and maintaining a diverse, equitable and inclusive environment for faculty, students and staff.  Represents the regional group and Institute on business affairs within the Institute, and to the School and U of M community. Develops and prepares budget forecasts, and financial reports for grants, general appropriations, endowments, and other funds. Provides input into non-technical portions of grant and contract proposals. Coordinates, collaborates and submits a variety of activities including employment, labor relations, and benefits, on-boarding and training for the regional area. While this position reports directly to II Chief Administrator and Managing Director of the II he or she will be expected to have a “strategic partnership” with II Faculty Directors in this regional group (subdivision).

  • General Operations: Manage the day-to-day operations of regional area ensuring maximum efficiency and recurring needs/requirements are met and supported by staff. Provide advice and support to the II Managing Director and II Director relating to general operations and services.  Review and analyze various internal KPI’s and make procedural/policy recommendations in order to achieve regional area and International Institute goals.  Be familiar with UM policies and procedures and assure awareness and compliance among faculty, staff, and students. Routinely monitor departmental activities to ensure variance is within acceptable range and proactively address issues. Manage facilities; coordinate office and computer assignments, and central office equipment.
  • Financial Responsibilities: Provide budgeting and expense projections and forecasting in partnership with II Managing Director to establish controls to maintain budget oversight for assigned Centers; Review business transactions for compliance with relevant policies and regulations and provide departmental authorization for these transactions; Assist with the management and oversee all research (including external grant funding), operating (general fund), discretionary, designated, recharge and endowment funds including the implementation of fiscal policies and procedures; Monitor and maintain budget policies set forth by the College of LSA and II leadership; Advise the Director, and Managing Director regarding optimal uses of financial resources for planning and management discussions. Assist II Managing Director in interpreting and providing information related to University, College and Institute policies and business procedures to all faculty, students and staff; work collaboratively with LSA Finance and prepare special budget and financial reports with statistical analysis where required
  • Human Resources Responsibilities: With direct supervision of twelve staff members, facilitate the successful performance and continuous development of Unit staff. Coordinate the work of that staff group providing leadership in a collaborative, team-oriented environment with support for professional development; Provide oversight for procedures related to faculty recruitment, appointment, review, retention and promotion. Work collaboratively with LSA Human Resources to develop job descriptions, review positions for appropriate classifications and salary ranges. Assist and provide guidance to the II Managing Director with requests for promotions, LEO lecturer appointments and renewals, sabbatical and other leaves. Analyze and evaluate the administrative staffing needs of the department and make recommendations to Managing Director. Resolve operating problems, address employee concerns.       
  • Administrative Support: Represent the II to other University units and administrators and outside units.  Resolve operating problems, employee complaints and grievances. Serve on University, College and Department committees. Work with the Managing Director to develop strategic direction for programming and to ensure that the Institute programming is consistent with the II mission.  Participate with Director and Managing Director in developing policies, and procedures; Interpret University and College policies and procedures for the Institute faculty and students.

Required Qualifications*

Bachelor's degree or equivalent is necessary, with advanced degree preferred. At least four to seven years progressively responsible administrative work in an academic environment, with one to two years in a administrative supervisory capacity; strong financial management skills in budgeting and expense reporting; excellent interpersonal and leadership skills; strong organizational skills; high level of competency in software applications for word-processing, spreadsheets, database and data retrieval programs in a file-server environment. Proficiency in MS Word, Excel and Access; Familiarity with central database data access via Business Objects or similar application; Demonstrated ability to manage various aspects of a complex organization. Ability to work independently and interactively as part of a team; excellent verbal and written communication skills; excellent interpersonal skills; strong organizational skills. Must demonstrate a collaborative, proactive and goal oriented approach to administration practices.

Experience developing a highly interactive and collaborative team environments; demonstrated ability in managing staff, leadership through change, and working within a complex and collaborative administrative structure; excellent verbal and written communication skills; excellent interpersonal and leadership skills; extremely strong organizational skills; Ability to work proactively in a fast paced, dynamic organization. Demonstrated ability to manage various aspects of a complex organization and proven ability to successfully supervise and mentor a variety of individuals; 4-7 years of experience in higher education administration in a central administrative leadership role. Experience with management of externally funded sponsored research. Successful experience in change management and culture change implementation. Knowledge of UM and LSA policies and procedures desired.
