Job Summary

Michigan Medicine’s Nurse & PA Recruitment & Retention (NRR) department is seeking an individual to join our team and support the mission of recruiting and retaining the best nursing and physician assistant talent to optimize the delivery of quality patient care to our patients and families.  This position will also support the Magnet Designation Program, as assigned. 
The successful candidate will provide high level administrative support to our seasoned, cohesive team of professionals, including the Director of Nurse Recruitment & Retention & Magnet Designation Program, NRR Manager and the NRR recruiters and administrative staff.
Positive communication style and a team-oriented approach are essential.
This position reports to the Nurse & PA Recruitment Operations Manager. 


Key responsibilities include but are not limited to:

Customer Service:
Telephone triage and customer service & support (to both internal & external customers)
Monitoring of NRR email inboxes
Triage GN screening phone calls
New hire employee follow-up

Data Management:
Serves as NRR’s lead admin support for data management on key performance indicators and metrics
Tracking and trending key performance metrics (new hire database, exit survey, term/transfer data, ROI related to events and marketing, etc.)

Office General:
Maintenance of employee personnel records in accordance with Michigan Medicine standards
Promotional items Lead (provides NRR staff with updated and competitive pricing options)
Monitors marketing and promotional items to maintain inventory and Nursing at Michigan & Michigan Medicine branding integrity.
NRR staff meeting minutes preparation and follow-up on action items 
NRR policy and procedure maintenance; monitors NRR shared drive content and upkeep
NRR retention awards coordination (Daisy Award, Beacon)
Office supply purchasing

Finance/ Accounts:
Account reconciliation (assists with bi-weekly and monthly payroll , gross pays, P-Card reconciliation, travel reimbursement)
Perform financial operations coverage for NRR which include general fund accounting, financial transaction processing, and financial analysis and reporting. (ePro reqs, non Pos, invoice and billing)

Candidate/Applicant Management:
New candidate mining
New hire tracking
Employee exit surveys
GN screening 

Event Support:
Administrative support in coordinating and implementing events including career fairs, Career Launch, Nurse Week events and other specialty events
NRR Event planning and coordination (including facility/ venue, catering, contracts, AV support, promotion & marketing, registration tracking, Continuing Education certificates)
NRR Event preparation (coordinates movers, space, materials and all details of event)
External recruitment event coordination (booth space; movers, giveaways)

All other duties as assigned

Required Qualifications*

Bachelor's degree in business administration, Informatics, marketing, human resources or an equivalent combination of education and experience is required.

At least three years of experience working as an administrative assistant, project manager or related experience is required. 
Previous work experience and proficiency with data entry, editing and data scrubbing

This individual must have a high degree of accuracy and attention to detail.
Advanced computer skills using Microsoft applications, including Word and Excel is required.
Significant familiarity with enterprise productivity software, such as the Microsoft Office suite and Google Drive/ Tools-Sheets & Docs.
Excellent customer-focused  interpersonal skills, as demonstrated by the ability to work effectively with individuals and teams, across disciplines

Desired Qualifications*

Current work experience in Michigan Medicine’s administrative information systems (eRecruit, OneStaff, Concur, M-Pathways, DataMart, Business Objects in the Financial Data Warehouse) is highly desirable.
Experience with Doodle, Google Docs, Google Sheets, Google Drive, Adobe Acrobat Pro, MS PowerPoint and Constant Contact is highly desirable.
Experience working with HR and financial database programs is desired.
Recent work experience in budget/ finance and accounts reconciliation is desired.
Experience in event planning and/or marketing/ advertising
Experience working in a healthcare environment is highly desirable. 
Working knowledge of Michigan Medicine policies and procedures

Work Schedule

Hours per week: 40
Shift/ Days/ Hours: Typically 10-hour shifts with work hours between 7 AM and 5 PM; Monday through Friday; required to flex to 8-hour shifts based on the needs of the department.  Some limited evening and weekend hours will be required to support NRR sponsored events.
Note:  It is a department expectation that work hours and days will be flexed to the needs of the department.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
