Responsibilities*

SCHEDULING

Coordinate the scheduling of patient and physician appointments and referrals in Cupid and Cadence.

Maintain up-to-date and detailed scheduling requirements for the Interventional Radiology Department.

Coordinate Faculty schedules.

Schedule procedures on Faculty Outlook calendar.

Coordinate interventional procedures with other radiological studies and/or anesthesia.

Obtain outside films and labs prior to patient procedure.

Perform all other office duties related to the scheduling process.

Identify and track reoccurring scheduling/operational problems and participate in resolution.

 

COMMUNICATION

Communicate/collaborate with internal and external customers to ensure an integrated approach to service.

Proactively serve as a liaison between customers and internal UMHS personnel to ensure adequate response and customer/patient satisfaction.

Collects accurate and complete data for documentation of all customer interactions.

 Call and confirm patient appointments.

Answer incoming phone calls and triage to appropriate location.

Accurately record any phone messages in MiChart and assure they are forwarded appropriately.

Utilize paging system to contact appropriate staff as required.

 

PAPERWORK

Process and compile patient paperwork for exams and clinical staff.

Gather and distribute patient appointment reminders. 

Call and confirm patient appointments.

Perform all other office duties related to the scheduling process.

Demonstrate ability to complete multiple tasks independently.

Identify and track reoccurring operational problems and participate in resolution.

Required to have knowledge and adhere to University and Departmental policies and procedures.

Maintain security of all databases and confidential personnel and patient information.

Required Qualifications*

Follow Radiology Gold Standard Customer Service guidelines consistently.

Adhere to high standards of teamwork by demonstrating adaptability, flexibility, and consistently sharing information and resources with others.

Ability to work independently in an ever-changing and potentially stressful environment.

Demonstrate dependability, initiative, ability to prioritize, and ability to accept direction.

Ability to spell correctly and use proper grammar.  Good oral and written communication skills.

Strong organizational skills.

Excellent attendance record.

High School diploma or equivalent.

3 years’ experience in customer service setting.

Desired Qualifications*

1-2 years of call center experience.

Working knowledge of Cadence, Cupid, and/or EpicCare

Familiarity with medical terminology.

Experience in a health care environment.
