Job Summary

The Division of Cardiovascular Medicine at the Internal Medicine Department of the Medical School is seeking a full-time Administrative Specialist Senior to lead its pre-award team. Cardiovascular Medicine has a growing and robust research program, serving over 100 faculty in multiple locations both on campus and off. The division has over $19 million in yearly sponsored research expenditures and a substantial amount of non-sponsored, but research related activity. This position will be expected to participate in regular rotations to off-site locations to optimize service to faculty.

Responsibilities*

This position reports to the Cardiovascular Medicine Division Administrator, and provides functional supervision to the Pre-Award grants management team. As the lead for this team, this position will work very closely with faculty and other team members in preparing sponsored research grant applications, as well as post-award finance staff managing Cardiovascular Medicine’s research activities, the Grants Administration staff in the Department of Internal Medicine, the Medical School Grants Office, and ORSP. Additionally, this position will interact with the Clinical Trials Support Unit (CTSU) with regards to projects which may be more appropriately processed through that venue.

The majority of effort associated with this position is related to day to day supervision of pre-award grants management for the Division of Cardiovascular Medicine, as well as the duties associated with the application process for sponsored research. These duties may include, but are not limited to:

  • Review and communication of sponsor instructions for applications.
  • Preparation of key elements of applications, including the PAF, budget, subcontracts, progress reports, and close-out materials.
  • Participation in budget negotiations with some sponsors.
  • Administration of T32 training grants
    • Applications, appointments, and terminations
    • Maintenance of website

Other duties associated with this role may include:

  • Maintenance of Divisional space survey data
  • Maintenance of Divisional research equipment asset records
  • Assistance with faculty transitions
    • Coordination of laboratory moves/decommissioning

Required Qualifications*

  • Bachelor's Degree or an equivalent combination of education and experience.  
  • A minimum of 3-5 years of pre-award research administration related experience is required.
  • Successful candidates will have the following skills and experience using typical business software such as Excel, Word, and PowerPoint.
  • Successful candidates will also have the following character traits: have strong integrity, be highly proactive, have a high degree of problem solving skills, retain a high sense of ownership and accountability for workload, be flexible and resilient in the face of change, provide excellent customer service, exercise excellent independent judgement, appropriately discern when to ask questions or ask for help, and manage competing priorities and deadlines.
  • Successful candidates will also possess excellent communication skills, be able to resolve conflict with a positive and win-win approach, possess expert follow-up skills, have high attention to detail, and be able to appropriately handle confidential and sensitive information.

Desired Qualifications*

  • Experience with eResearch, Business Objects, M-Reports, and M-Pathways.
  • Experience managing submissions from a wide variety of sponsors including National Institutes of Health, American Heart Association, industry contracts, and clinical trials.
  • Experience with Lean processes and procedures.
