Provides administrative support to the Ross School of Business Human Resources Department.  Assists in maintaining a positive employee relations environment. Ensures prompt, efficient and professional responses to employee relations issues.  Generally completes the following duties and responsibilities under the guidance and direction of Senior HR personnel and management.

  • Provides support and guidance to deans, faculty, administrative management, staff, and students; facilitates effective communication; assists with the resolution of concerns; and promotes the Ross Way.
  • Updates the human resource information system. Processes new hire appointments, changes, annual salary adjustments, and additional payments; advises staff on tuition support policy; processes tuition support requests from staff. 
  • Maintains the HR department’s website.
  • Assembles and maintains all employee personnel records, files and information, in compliance with legal requirements and University protocol. Annually, prepares files for storage and destruction according to document retention requirements.
  • Posts open positions (regular and temporary) using the university’s applicant management  system, prepares job folders, monitors candidates, conducts pre-employment screening, screens candidates and forwards resumes, schedules interviews as necessary, dispositions candidates, and assists with the preparation of offers.
  • Advises staff on payroll policies and self-entry timekeeping, assists with timekeeper access, answers timekeeping questions.
  • Serves as I-9 compliance officer.
  • Ensures new staff members receive and sign the Conflict of Interest and Conflict of Commitment policy, administers annual recertification.
  • Coordinates the planning and execution of logistics for Ross HR programs, events, conferences, workshops, and/or meetings by managing logistics, preparing agendas, gathering materials, communicating with attendees, and attending/hosting. 
  • Performs general office duties, including greeting visitors, answering phones, drafting correspondence, copying, mailing, scheduling meetings, and making travel arrangements. Coordinates office supply orders for the department with the Administrative Core Team.
  • Serves as backup to HR Generalist  
  • Other duties as assigned.

Required Qualifications*

  • Bachelor’s degree in a related field or equivalent combination of education and experience.
  • Minimum of 1 year related human resource experience.
  • Demonstrated excellence in written and oral communications to a wide audience is required.
  • Strong organizational skills and the ability to successfully complete multiple tasks within established and changing deadlines.
  • Ability to effectively identify and resolve issues as demonstrated by use of data, creative problem solving techniques and strong interpersonal skills.
  • Must have successful experience in a professional team-oriented environment with commitment to customer service.
  • Ability to work effectively in a dynamic environment with multiple and sometimes conflicting priorities
  • Ability to establish and maintain good working relationships and effective channels of communication at multiple levels and with diverse groups inside and outside the organization.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) and database applications.
  • Data entry and report writing experience with an HR information system, preferably PeopleSoft.
  • Experience developing and analyzing surveys using on-line tools, preferably Qualtrics.

Desired Qualifications*

  • Experience with the University’s M-Pathways system, Business Objects, and U-M policies and procedures is desired.
  • Experience with Google Mail, Google Drive, and Google Forms is desired.
  • Experience with Visio.

Skills testing in MS Office Applications will be required.

  • The person in this position routinely communicates with faculty and staff about policies, procedures and programs.
  • The person in this position frequently moves through the building and throughout campus to attend meetings/events and access files or information.
