The Infection Prevention & Epidemiology department is seeking a highly motivated Administrative Assistant Intermediate to join their team. Candidates for this position must have the knowledge, skills, abilities, and experience needed to provide responsible and effective administrative support in a fast-paced environment with ever-changing priorities. Key skills include: accuracy and attention to detail, the ability to problem-solve, excellent planning and project management skills, consistent and effective follow-through on all matters, high quality writing skills, excellent customer service and diplomacy and the ability to handle sensitive matters in a discreet manner.
- Answer phones. Respond to routine requests; route calls to appropriate person.
- Review and disseminate mail; compose responses for routine requests.
- Maintain mailing lists and complete scheduled mailings.
- Schedule appointments and maintain office calendars using Outlook.
- Schedule and arrange department/committee meetings. Assist with preparation of materials. Copy/distribute materials.
- Make travel arrangements, including booking flights, arranging hotel accommodations and other related travel arrangements.
- Arrange schedules for campus visitors, including preparing itineraries, scheduling meetings and appointments and arranging parking as directed.
- Complete financial tasks such as purchasing card reconciliation; prepare Concur expense reports; process purchase orders/invoices; non-PO vouchers; preparation of cash receipts, deposits, journal entries.
- Monitor and order office supplies within budget.
- Coordinate submittal of payroll materials; process additional pay using PeoplePay.
- Maintain employee blue folders
- Assist with special projects, event planning and coordination as assigned.
- Perform other duties and responsibilities as necessary to accomplish the goals of the department.
- Assist with communicable disease reporting
- A minimum of two (2) years; five (5) years preferred of administrative support experience in a fast-paced, customer service oriented environment.
- Microsoft Office proficiency (Word, PowerPoint, Excel, and Outlook).
- Candidate must have strong interpersonal skills and the ability to communicate effectively (both orally and in writing) with internal and external customers.
- Candidate should possess attention to detail, ability to work independently and as team, and ability to multi-task.
- Knowledge of University policies and procedures is preferred.
- Experience with University systems, including MPathways, FinProd and Concur
