Job Summary

The Department of Internal Medicine is seeking an experienced Facilities Coordinator.  As a member of the Facilities team, this position will provide facilities support to a large department with multiple locations where diverse areas of space usage occur; including lab and clinical space.  Main areas of responsibility include coordination and management of renovations, moves and activations, ensuring buildings are maintained and space, security, ADA and OSEH compliance, ergonomic and safety needs are achieved; as well as, tracking department space usage via a UM data base.  This position will be supervised by the Department’s Facilities Manager.


Maintain department space use in M-Pathways for Hospital and Medical School space usage.  Provide space utilization data and recommendations on space use and allocations; coordinate space relocations.  Schedule and coordinate building repairs where required; assist in the resolution of building issues.  Coordinate modifications to layout of facilities.  Liaison with Department, Hospital and Medical School safety committees and coordinate, support and implement mandated laboratory, hospital, or office safety standards, and training.  Responsible for quotes, selecting vendors, writing purchase orders for moves, office supplies and some furniture items.  Maintain detailed budgets for furniture acquisitions and construction work orders as requested.  Coordinate activation process including moves, phone and telephone relocations.  Coordinate IT needs for projects.  Attend safety meetings and training as required.  Participate in the process for a development of a Department Disaster Recovery Plan as requested.  Develop processes to better serve department staff and faculty facilities needs.

Required Qualifications*

Degree in Facilities Management or a related field; or an equivalent combination of education and experience.  Experience in Project Management; including the ability to successfully manage multiple simultaneous projects.   A solid skill-set for data base programs. Five years experience in a customer service-related position.  Significant computing skills, including experience with MS Office Suite and data bases. 

Desired Qualifications*

Experience in Facilities or Construction Management.  Knowledge of UM programs:  FMS and M-Pathways.  Knowledge of UM procedures and policies.
