Job Summary

The Administrative Assistant Intermediate will provide high level administrative support to research faculty of the Child Health Evaluation and Research Center.  This position requires independence, critical thinking and a strong ability to follow-up while seeing tasks through to completion.  This position requires independent management of complex calendars and schedules.  Supporting multiple investigators and making travel arrangements are required.  The ability to identify and trouble shoot areas of conflict before they arise is essential.  This position will serve as a part of Tier 2 supply group for the Department of Pediatrics and will serve as the contact for Center maintenance requests.  This position will assist in maintaining and updating portions of the Center’s website.

Responsibilities*

  • Assisting in preparation of faculty CV's and annual reports.
  • Preparing seminar agendas and assisting in coordination of seminar set-up.
  • Formatting PowerPoint presentations and seminar posters.
  • Be able to maintain social media accounts & update CHEAR website with direction.
  • Make travel arrangements with detail accessible by calendar and itineraries.
  • Initiate and edit correspondence.
  • Maintain bibliographic database using various software.
  • Cite references using EndNote
  • Put together annual publication book
  • Proofread and edit manuscript submissions in accordance with journal-specific requirements.
  • Maintain calendars.
  • Schedule meetings and teleconferences.
  • Support meetings/seminars with Powerpoint presentations, seminar posters, setup and refreshments.
  • Answer telephones.
  • Maintain filing systems.
  • Coordinate use of facilities, services and equipment.
  • Order supplies including software
  • Coordinate hosting activities for meetings of varying size and complexity
  • Set up A/V in conference room
  • Take minutes at meetings
  • Screen, prioritize and distribute correspondence as a representative of the Division.
  • Direct matters to appropriate persons for action or follow-up.
  • Help to manage work-study/temporary office assistant tasks

Required Qualifications*

  • Associates degree or an equivalent combination of education and experience is preferred.
  • Five years experience in the performance of progressively responsible administrative and complex clerical work.
  • Ability to work independently as well as part of a team.
  • Excellent interpersonal and some supervisory skills.
  • Excellent verbal and written communication skills.
  • Proofreading and editing skills.
  • Ability to work effectively and diplomatically with faculty, staff and students under a variety of circumstances.
  • Strong multitasking ability with propensity to adjust for changing priorities.
  • Attention to detail and strong follow-through skills, as well as demonstrated organizational skills.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) .
  • Experience in preparing spreadsheets, slides, graphics and desktop publishing.
  • Must demonstrate strong customer service skills.
