The Patient Services Senior in the division of Pediatric Neurology leads a dynamic team of patient services staff members. This position is a working supervisor, providing goals, direction and training to the staff, along with setting the standard for work performance.
- Supervise 4 admin/clerical employees in the Peds Neuro Clinic Office
- Manage and assign daily tasks/workload to admin/clerical staff
- Train new staff on office procedures/tasks
- Manage triage process for incoming physician referrals, obtaining all required documentation, processing paperwork per triage procedures, contacting patients to schedule
- Appointment Scheduling: accurately and efficiently schedule patients utilizing MiChart. Must be able to match referral with varied appointment types to meet the patient and clinic/provider needs and requirements.
- Able to efficiently navigate MiChart to obtain information needed.
- Respond to and evaluate patient inquiries, resolve disputes including clinic procedures policies and billing issues
- Act as primary resource and point of contact for complicated issues or concerns for staff or providers
- Coordinate Clinic Follow-up Procedures: Completing and mailing information/intake packets and appointment confirmation letters. Reviews all patient referrals and triages referrals to the appropriate clinic (e.g., headache, new onset seizures, epilepsy, neuro muscular) based on clinic protocols.
- Communication/Telephone Skills: Adheres to established telephone management principles. Able to efficiently navigate the electronic medical record (MiChart) to obtain information needed. Demonstrates good customer service telephone skills.
- Navigate and respond to inbasket messages to ensure good patient care and smooth clinic flow.

- High School Diploma or GED
- 5 plus years of experience
- Knowledge of medical terminology
- Demonstrates active listening, written, verbal and information technology skills
- Bachelor’s degree in a health related field, business administration or other related field
- Experience working within a large, complex healthcare system
- Extensive knowledge of MiChart
- Knowledge of University policies and procedures
- Experience working on Aspect phone system
Monday - Friday, 8 a.m. - 5 p.m.
