Job Summary

The University of Michigan-Dearborn (UM-Dearborn) is one of the three campuses of the University of Michigan. The advancement assistant provides a high-level of program support to the University of Michigan-Dearborn institutional advancement team by creating and managing content directed to alumni and donors and by managing university alumni and donor data through data input, research, reporting, and analytics to assure the highest level of data integrity.
 
This is a 2-year, limited-term regular position. Possibility of extension subject to organizational needs and funding.

Responsibilities*

Writing and Communications – 45%
  • Write, edit and format copy as needed
  • Build e-newsletter in email marketing platform
  • Create and post regularly in social media
  • Update website and upload new content
  • Research and gather information for written pieces
  • Create flyers, invitations, and infographics
  • Take photos at events and general campus shots
  • Collaborate with campus partners
  • Other special projects as needed
Data Management – 45% (serving Alumni Engagement and Development)
  • Manage data within the university database system including updating address, email, phone, and other important data points
  • Research alumni employment information and other special data projects
  • Prepare standard and custom reports
  • Assist with invitation lists and support material for campus visits, events, and other meetings
  • Occasionally support development team members with prospect development and briefing materials for events, donor meetings and strategy sessions as needed
  • Provide assistance in coordinating work with other Institutional Advancement staff and senior leadership
  • Recommend and implement best practices for research, reporting, and analytics
Administrative Support – 10%
  • General administrative support duties may include: Maintain and coordinate calendars, schedule group meetings, electronic filing, and other routine tasks to keep the Institutional Advancement office organized
  • Provide backup administrative and front desk support
  • Represent the Institutional Advancement office in the community and campus events
  • Manage special projects and other duties as assigned
Supervision Received:
 
Direct supervision is provided by the executive assistant to the vice chancellor. Functional supervision is provided by the director of campaign marketing & communications, assistant vice chancellor for institutional advancement, and director of alumni engagement 

Required Qualifications*

  • A bachelor’s degree or the equivalent education and two years of professional business office experience
  • A demonstrated understanding of and commitment to communications, alumni engagement, and/or development
  • Excellent written and oral communication and interpersonal skills
  • Considerable knowledge of Word, Excel, and PowerPoint required
  • Ability to work with all levels of constituents, and operate in a fast-paced, customer service and detail-oriented environment
  • Ability to work both independently and as a part of a team
  • Ability to set priorities, handle multiple assignments and deadlines, and to display mature judgment while operating in a flexible and professional manner
  • Ability to serve and support multiple program areas equally and effectively
  • Discretion when dealing with highly sensitive information and a focus on customer service are essential
  • An appreciation for a rigorous academic, student-centered and inclusive environment, coupled with a familiarity with the complexities and politics of the university setting

Desired Qualifications*

  • Experience in higher education administrative or program support
  • Experience in working with complex alumni/donor databases
  • Knowledge of University policies and procedures
