The Administrative Assistant, Senior supports the administrative needs of the C.S. Mott Children’s and Von Voigtlander Women’s Hospitals (CW) administrative staff. The administrative assistant, senior must exercise considerable discretion and independent judgment and possess highly developed organizational and communication skills, along with a commitment to UMHS core values, including service excellence.
Work closely with the CW administration team in a manner that facilitates effective interactions with diverse stakeholders. Serve as the face and voice of CW administration to many stakeholders, using well developed communication skills and a strong commitment to service excellence. Stakeholders include patients and families, other support departments (examples include Facilities, Development, Security, Finance, Human Resources, Surgical Services and Contract Services) as well as provide support to multiple team members.
Work closely with CW support staff as part of a team to prioritize projects that cross administrative boundaries. Provide back-up as needed and depth of knowledge of the work related to CW administration including support for inquiries/requests from their temporary work-study or volunteers.
This role will coordinate complex meetings, provide staff support for various executive and operational committees, including preparation and distribution of meeting materials, coordination of meeting participants, management of AV equipment during meetings and creating meeting agendas and minutes. Schedule and coordinate travel as needed and reconcile p-card transactions. Screen telephone calls and visitors, and resolve routine and complex inquiries. Create and edit presentations in collaborations with administration team.
Other functions specific to the area and team supported may also be part of the individual’s primary duties. That can include providing support to the Family Center staff and front desk as needed, general ledger and finance entry and report writing, activities to support human resources management (such as blue folder maintenance, personnel action request preparation, managing job postings) and participating in program management.

- Associate Degree or an equivalent combination of education and experience is necessary
- 4 years of experience
- High functioning experience with meeting coordination
- Documented excellent verbal, written and interpersonal skills
- Demonstrated excellent organizational and multi-tasking skills with attention to detail, timelines and prioritization
- Ability to work independently and as part of a team
- Knowledge of how to utilize and write content for social media outlets such as twitter, Facebook, and Instagram for hospital program purposes.
- Proficient in use of Microsoft Word, Excel, Power Point, Outlook and others
- Ability to travel between campus buildings
- Ability to work flexible hours
- At least five years of relevant experience in administrative support
- Reasonable knowledge of University of Michigan policies and procedures
- Experience with development and support of webpages and writing skills
