Financial related duties include but are not limited to: Review general, gift and endowment funds on a regular basis to ensure accuracy, correct errors, and provide reports as requested by the Department Administrator.  Process all journal entries and effort recertification forms as needed.  Maintain updated account listing with all funds including general, sponsored, gifts, and endowment funds.  Process all purchase orders & non-PO requests including software, computers, and other supplies.  Process PeoplePay payments for guests and others as needed.  Handle all check depositing activities. Establish and maintain vendors in the MPathways system.  Reconcile all faculty-held PCards including gathering receipts and information, proof of receipt & payment, building expense reports and billing appropriate chartfields.  Assist faculty with booking all aspects of domestic and international travel.  Process all guest and student travel reimbursements.  Assist faculty and students with setting up Concur profiles and delegates.

Academic related duties include but are not limited to: Create and maintain efficient Canvas sites including researching the location of reading materials, posting assignments, monitoring email, downloading and/or printing homework, updating syllabi, sending notifications, and entering grades.  Assist faculty in preparation of course materials.  Coordinate textbook orders.  Collect and hand-out homework and exams, track grades, prepare and mail reference letters as requested by faculty and students.  Schedule departmental conference or office space as requested by faculty, students and other departments. Serve as liasison betweeen faculty and students.  Handle correspondance and papers of highly sensitive and confidential nature.  Assist faculty with formatting papers for publication, updating faculty CVs and Biosketches, performing literature reviews or internet searches as requested.

Required Qualifications*

High school diploma or equivalent plus 3+ years experience in an office setting.  Demonstrated ability to work effectively with staff, faculty, and students from diverse backgrounds.  Demonstrated proficiency with Microsoft Office software and ability to quickly learn complex software.  Must be able to take direction from several different people, prioritize tasks with conflicting deadlines, handle frequent interruptions, meet deadlines and demonstrate flexibility when priorities and deadlines must change. Must have excellent organizational skills, accuracy and attention to detail.  High level of effective oral and written communication skills required. Ability to exercise considerable respect, discretion, initiative, independent judgment, diplomacy, and consistently demonstrate a positive service-oriented attitude.  Ability to assist people calmly in stressful situations and matters of a sensitive and confidential nature a must.

Desired Qualifications*

Bachelors degree preferred.  Knowledge of University policies and procedures and 3+ years experience in an academic unit are desired.  Demonstrated proficiency with University systems such as Concur, MPathways, MReports, Business Objects is preferred.  Excellent interpersonal skills and ability to work both independently and as a collaborative team member with faculty, staff, students, and outside constituents.  Knowledge and thorough understanding of University and basic financial systems, such as chartfields, journal entries, PCards, purchasing, budgeting, reconciling, reporting a plus.
