Job Summary

Provide responsible and complex administrative support to the staff of the Patient Safety Office, with the potential to support special projects as deemed necessary.  Must maintain confidentiality in matters of high sensitivity and confidential in nature.  Proven advanced Outlook knowledge to schedule meetings is required.   Must be able to manage multiple schedules at one time as well as exercise judgment on setting priorities for the effective use of time.  Proven ability to take detailed minutes and produce a written document that summarizes the event/meeting.  Coordinate the organization of meetings, including meals if necessary. Manage travel arrangements.  Other basic administrative and support office duties as directed by the Administrative Specialist in support of the Patient Safety Event Team.

Responsibilities*

55%    Operate and perform job responsibilities with some autonomy in decision making.  Provide a variety of complex administrative support services across the Patient Safety Office. Manage Administrative Director of Patient Safety and Manager of the Patient Safety Event Team calendars. Schedule, prepare handouts and agendas, and provide direct staff support to meetings as needed. Anticipate needs and monitor status of assigned duties. Act as back up to the administrative support for the Patient Safety Event Team to support continuance of operations for event response.

15%    Provide administrative support, including calendar support for Patient Safety Event Team when necessary.  Support weekly Safety Event Triage Team and maintain documentation in Risk Pro adverse event reporting system.  Schedule team meetings for event review to maintain timeliness of reviews as directed.

10%    Maintain departmental customer service standards. Compose and edit documents, communiques, and emails to both internal and external stakeholders; requiring a high degree of attention to detail.  Exercise excellent judgment in problem solving seeking guidance when needed. Answer main phone line for Office of Patient Safety during working hours.

10%    Work with Patient Safety Office leadership to assist in preparing reports to system committees and governance.   Integrate event team information and patient safety priorities, requiring high attention to detail.

5%    Special projects as assigned.

5%    Other duties as assigned.
 

Required Qualifications*

  • A minimum of 3-4 years of progressive administrative experience is required.
  • A minimum Associates Degree is required, or an equivalent number of years of experience, is necessary.  
  • This position requires a high level of attention to detail and organizational skills.
  • Must be able to prioritize tasks, work independently, handle multiple tasks simultaneously, and work collaboratively with others.
  • Must have a proven track record of successfully and positively working with leadership, faculty, and staff.
  • Must possess excellent verbal and written communication skills.
  • Must have a strong dedication to customer service and an ability to work within a team-focused, participative management framework.
  • Skills with Microsoft Outlook, PowerPoint, and Word is essential. A proven ability to use discretion and appropriate judgment regarding sensitive and confidential matters is required.

Desired Qualifications*

  • Experience in a healthcare setting with knowledge of clinical terminology and an understanding of healthcare delivery and clinical roles.  
  • Experience in patient safety or risk management setting.  
  • Skills with Microsoft Excel, Concur, and Visio.  
  • Current knowledge of UMHS policies and calendaring processes, including locations of conference rooms and booking.

Background Screening
