Job Summary

The Alumni Association of the University of Michigan (AAUM) is seeking an experienced professional to develop and lead a University-wide alumni volunteer management initiative. The Alumni Volunteer Program Manager will expand current volunteer efforts and create more robust ways to identify, recruit, train, support, recognize and reward the thousands of Michigan alumni who provide volunteer support for the AAUM and/or the University, including within its many campuses, schools, colleges and units.

Provide overall management of the program area including the development of a strategic plan for alumni volunteer management, and the implementation of objectives and tactics that ensure the plan achieves the AAUM’s vision for alumni engagement through volunteerism. The program must be consistent with the AAUM’s overall goals, it must be relevant to and valued by all University units who engage alumni as volunteers and, importantly, it must provide a quality experience for alumni who desire to volunteer. So, in addition to providing successful strategic implementation, the Alumni Volunteer Program Manager must collaborate effectively with other AAUM program areas, and develop and sustain productive relationships with key offices and individuals throughout the University community.

Characteristic Duties and Responsibilities

  • Engage other AAUM teams/staff members and key University partners in developing the details and implementation tactics of the strategic plan for alumni volunteer management; annually update the plan to ensure it remains relevant.
  • Implement all details of the volunteer management strategic plan; at a minimum, components of the alumni volunteer initiative will include:
    • A thorough assessment of needs/opportunities for alumni volunteerism throughout all three U-M campuses.
    • A centralized system and processes for maintaining a single database of all alumni volunteers, and for collecting behavioral data that can be analyzed with the goal of better serving and engaging them.
    • Communications with alumni about volunteer opportunities that make it easy and rewarding to volunteer.
    • Identification and recruitment of qualified alumni for unfilled volunteer needs.
    • Consistent training and ongoing support that ensures alumni are successful in their volunteer activities.
    • Meaningful recognition/rewards for volunteers.
  • Build and maintain positive, productive relationships with University partners for whom the alumni volunteer management program will be an important resource.
  • Develop all components of the plan with alumni in mind, ensuring that the opportunities and processes are relevant to their interests and rewarding for their engagement.
  • Working with University partners, ensure that the opportunity to volunteer is seamless for alumni and serves the unique and shared goals of AAUM and University units.
  • Develop annual budget proposals for the successful achievement of the volunteer management plan; wisely manage expenditures within the approved budget.
  • Identify and monitor appropriate metrics (key performance indicators) that provide a clear picture of success for the program.
  • Provide relevant information to AAUM leadership about alumni volunteerism through short- and long-term forecasts and engagement reports, as well as other special reports and analyses as required.
  • Collaborate with the marketing team to develop effective marketing strategies that encourage alumni to become engaged with AAUM/UM as volunteers.
  • Work with other AAUM teams to gain a clear understanding for the details of AAUM’s strategic transformation; develop a sense of ownership for every piece of it, including pieces for which there is not direct responsibility.
  • Proactively collaborate with other AAUM individuals and teams to increase the potential for success around team-specific and shared goals.

General Duties and Responsibilities

  • Be inclusive and collaborative with every other member of the staff and every other team. Operate as a critical contributing member of the staff to complete objectives in many different areas in order to move the whole organization toward strategic transformation.
  • Provide staff support for alumni volunteer and other Alumni Association events.
  • Provide staff support as needed to the Alumni Association’s Board of Directors, its committees and other volunteers.
  • Coordinate special projects as assigned or required.
  • Participate in team and Association-wide committee and meetings as required.
  • Share and obtain knowledge through internal AAUM communications.
  • Represent the Alumni Association at University and alumni functions as needed.
  • Research and stay abreast of current trends in alumni education and higher education, particularly as they relate to direct area(s) of responsibility.
  • Remain current with respect to technology and other resources.

Supervision Received

Through implementation of the expanded volunteer management initiative, supervision will be provided directly by the AAUM President & CEO, after which Volunteer Management will move to an appropriate multi-program team.

Provide direction to volunteers; may provide direct supervision to some temporary and/or student employees.

Required Qualifications*

  • Demonstrate and live out the core values that are uniquely inherent to the Alumni Association: 1) all in, 2) serving heart, and 3) solution seeker.
  • A Bachelor's degree is required.
  • Five years of professional experience in higher education administration or product/program development with in strategic program development, implementation and assessment.
  • Success in leading and executing a project/process from conception through implementation and evaluation, with minimal supervision.
  • Ability to think strategically, including analyzing data, extracting trends and applying findings to improve programmatic efforts.
  • Demonstrated ability to work successfully with volunteers.
  • Experience in the development of a strategic plan.
  • Ability to manage several tasks concurrently, meeting deadlines while continually setting priorities on emerging requirements and changing timelines.
  • Experience identifying and utilizing technology to deliver programs and services.
  • Ability to manage effectively, both people and programs, as demonstrated in resource allocation (e.g., forecasting and budgeting).
  • High degree of initiative and resourcefulness.
  • A proven ability to generate innovative solutions to challenging issues with a can-do attitude and a results-driven approach.
  • Willingness to proactively help in other areas when needed.
  • Demonstrated commitment to doing whatever it takes to make positive contributions to the larger organizational mission.
  • Excellent interpersonal and communication skills (both oral and written), strong organizational abilities.

Desired Qualifications*

  • Experience with Salesforce or similar CRM software.
  • Broad knowledge of the University of Michigan.
  • Experience in a higher education or other complex nonprofit setting.

Additional Information

Some evening and/or weekend work is required. Occasional travel is required.
