Job Summary

UROP is seeking an enthusiastic, energetic, and highly organized person with exceptional customer-service skills for the position Student Administration Assistant Intermediate.  The person in this position will support UROP’s office activities, act as the primary point-of-contact for information for staff, students, faculty, and visitors, coordinate web content and communications, manage UROP department calls, and provide financial support. A successful candidate will be eager to work closely with the UROP team to coordinate and implement varied activities for the organization and ensure the smooth functioning of the unit.

Front Desk and Administrative Support 40%

  • Manage and respond to in-person inquiries, email information requests, calls from current and prospective students, parents, faculty, staff members and other UM Offices including the registrar’s offices in other schools and colleges.
  • Communicate with other UM offices and supporting departments including LSA IT, Payroll, various vendors including Konica, Accushred, etc.
  • Manage -- UROP’s high volume information portal.
  • Order office and event supplies and help with major event planning.
  • Coordinate the ordering process for UROP promotional materials and communicate with preferred vendors and submit SOPPs.
  • Manage conference room reservations for USB and for staff in adjacent offices including Biology and PITE and on occasion external users.
  • Provide event planning support for staff meetings, Spring Symposia and special events.

Student Services Support 40%

  • Issue class permissions, and process credit modification and late add forms for 1200 students per term.
  • Assist with the processing of employment paperwork, approve work-study hours and related HR duties for 500 temporary employees including working with faculty and other research mentors about the process.
  • Process 1200 student contracts per term including database entry.
  • Manage academic credit time approval process for 800-900 students each term and approve time for mentors who do not have access.
  • Process student travel grants and communicate with students about UROP travel and reporting policies.
  • Help students with travel reimbursement.
  • Ensure accurate entry and modification of information about students and faculty in UROP Wilke Database.
  • Advise peer advisors and answer questions about UROP policies and procedures and provide support for biweekly research seminars.
  • Coordinate Peer Advisor interview process, schedule group and individual interviews, etc.
  • Provide support during admission process-update applicant info, provide admissions info in timely fashion, etc.
  • Provide support for Community College and other summer research fellowship programs including creating UMIDs for visiting students and access to UM on-line resources.
  • Assist with processing visa applications for international students.

Web Content and Communications Coordinator 10%

  • Update, modify and maintain department websites.
  • Start and maintain News feature for new webpage including writing content.
  • Work with Program Managers to revise and update web content.
  • Create and design department newsletters for students and faculty.
  • Maintain UROP social media presence on Twitter and Instagram.
  • Work with Peer Advisor Social Media committee.
  • Edit student handbooks and program manuals.

Transportation Coordinator 5%

  • Manage the scheduling, maintenance and policies for UROP departmental cars.

Financial Support 5%

  • Reconcile P-Card Activity.
  • Assist with financial and accounting duties as needed.
  • Communicate with students and faculty about travel reimbursements, JE transfers, shortcodes, etc.

Required Qualifications*

  • Minimum of 2 to 4 years relevant, progressively responsible experience.
  • Experience working in a student services setting.
  • Positive, proactive, take-charge attitude; ability to take initiative and think creatively to create solutions and assist colleagues and patrons. 
  • Team-oriented, flexible and customer-service oriented manner.
  • Must work well independently and in collaboration with faculty and staff as a team member.
  • Ability to work effectively independently and in a dynamic environment with multiple and sometimes conflicting priorities.
  • Excellent communication skills (written, oral, listening and speaking), with demonstrated ability to communicate clearly, appropriately, knowledgeably, and effectively to differing audiences in a variety of contexts.
  • Must be able to exercise discretion and diplomacy with sensitive and confidential information.
  • Demonstrated consistent attendance, dependability, punctuality and reliability in prior work settings.
  • Excellent analytical, problem-solving and decision-making skills.
  • Outstanding attention to detail, accuracy, and procedures.
  • Superb organizational skills with demonstrated ability to undertake, manage, and prioritize multiple tasks with competing deadlines.
  • Must be able to manage stress effectively working in a fast-paced environment with frequent interruptions.  Willingness to learn new skills and take on new projects.
  • Demonstrated conference planning and coordination experience.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint), Google (calendaring, email and Google drive), Adobe Illustrator and Mailchimp. Some experience with social media.
  • A high school diploma or equivalent required.

Desired Qualifications*

  • Familiarity working within a university environment.
  • Experience with database management and software systems (i.e., CTools/Canvas, MPathways,   Business Objects, MReports) desired.
  • Working knowledge of University of Michigan policies and procedures.
  • Associate’s or Bachelor’s degree highly desired

Additional Information

Requires the ability to travel to various locations to conduct work and deliver materials.

The person in this position routinely communicates with students about financial aid, programs, events, activities, etc.

The person in this position occasionally moves through the facility to attend meetings/events and access files or information.

May require work during early mornings, nights, and/or weekends.
