The individual in this position provides highly responsible and skilled secretarial and administrative support to the Chair of the Department of the History of Art, a medium-sized department with approximately 30 faculty and instructional personnel. This includes exercising a high level of initiative, discretion, and judgement regarding sensitive and confidential matters.

Responsibilities*

Provide support to the Chair: draft original correspondence; handle inquiries from faculty, students and staff; coordinate meetings with university, college, departmental staff, faculty, and outside visitors; and provide Chair with high-level overview of departmental and academic affairs calendars.

Draft correspondence for the Chair.

Maintain a high level of understanding of all LSA procedures for faculty review and promotion. Manage and coordinate faculty promotion and tenure materials and processes. Coordinate third-year review for faculty. Track and prepare reappointment requests for honorary and endowed professorships. Manage the review timeline and ensure that dossiers are submitted accurately and in a timely manner to the History of Art and LSA Executive Committees.

Maintain a high level of understanding of all LSA procedures for faculty hiring and recruitment. Provide administrative support and coordinate faculty search process. Schedule, plan, and coordinate visits for faculty job candidates. Maintain applicant files. Prepare hiring files for College approval. Work with Chief Administrator and Chair to prepare offer letters for faculty appointments.

Help formulate and submit retirement memoirs.

Prepare agendas and distribute minutes for the monthly executive committee and faculty meetings; follow up on discussions and/or directives in those minutes to see that appropriate action is initiated.  Collect and tabulate data for reports, records, or manuscripts as needed.

Perform miscellaneous duties as assigned such as supporting faculty committees and helping in the organization of departmental lectures and events.

Assist the Chief Administrator with donor stewardship.

Coordinate alumni relations and work collaboratively with the Events and Communication Specialist.

Perform other duties as assigned in order to support the goals and objectives of the department.

Required Qualifications*

Bachelor’s degree or equivalent combination of education and experience with at least four to five years of administrative support to an upper level manager/executive. High level of proficiency with technology and specific experience using the Microsoft Office suite of software (specifically Word, Excel, PowerPoint, Access). Ability to work independently, set priorities, multi-task, and meet multiple deadlines. Excellent communication and interpersonal skills. Ability to finalize correspondence, business letters, summaries, and reports; type and enter data with speed and accuracy, edit and proofread final products for grammar, spelling, punctuation, and typographical errors. Proven ability to set priorities and adapt as priorities shift.

Desired Qualifications*

Experience at UM handling tenure and promotion cases as well as faculty recruitment. Working knowledge of LSA tenure and promotion policies and procedures and experience working with LSA’s Management Reporting System particularly desirable. Experience with MPathways. Reasonable knowledge of University and LSA policies and procedures. Ability to anticipate problems and the confidence to take appropriate initiative. High degree of poise, judgment, and discretion.

Work Schedule

Hours/Week: 40 hours/week Shift  

Hours/Days: M-F, 8-5:00 pm

Additional Information

The target salary range for this position is $48,500-$60,500 full-time rate. The actual salary offered may be higher based on the qualifications and experience of the selected candidate.
