Job Summary

The Division of Rheumatology has an exciting opening for a highly skilled Operations Manager. The selected candidate will provide comprehensive and highly skilled administrative support to the Division Administrator in the areas of administration, communications, clinical operations, project management, faculty affairs and HR. This is a dynamic position such that the day-to-day assignments will likely vary from one week to the next, allowing opportunity for the individual to develop a broad range of skill sets and play an important role in meeting the operational needs and strategic initiatives of both the Division of Rheumatology and the Department of Internal Medicine.

Responsibilities*

Administration: (40%)

  • Serve as operations lead for administrative areas including, but not limited to, HR, clinical operations, communications and space management
  • Ensure Divisional policies and procedures meet the needs of our faculty, staff and students and are consistent with department, school and university guidelines.  In coordination with administrative staff, ensure all policies and procedures are documented and staff are trained to execute as documented
  • Serve as the divisional flu liaison

Management: (20%)

  • Administratively manage and supervise administrative support staff members
  • Review and approve time off ensuring adequate coverage and cross training
  • Establish, measure, and monitor performance standards and ensure staff are trained to meet or exceed those standards
  • Assign staff to meet divisional needs

Faculty Affairs: (10%)

  • Coordinate with the division and department administrative teams on:
    • faculty recruitment including arranging visits, reimbursements, and dual career program
    • faculty reviews including ensuring CVs and MCV are updated as needed, department and division data submissions are complete, faculty review and work planning meetings are scheduled with the Chief
    • sabbatical planning is coordinated with eligible faculty and the department faculty affairs team
    • faculty onboarding and orientation
    • faculty leave of absence
    • faculty retirement

 Clinical operations (20%)

  • Facilitate the clinical division’s clinical operations serving as a liaison with call center staff
  • Support Service Chief in executing administrative support and logistical needs
  • Oversee the tracking and documentation of faculty sick and vacation time and providing reporting to divisional leadership
  • Manage QGenda scheduling software platform for clinic closing and opening process

Event planning and coordination (5%)

  • Oversee the planning and coordination of lectureship events, including developing and managing budget, reservations, CME certifications. Responsible for planning location, invitation, and hosting details prior to events, as well successful execution of event

Other duties as assigned (5%)

Required Qualifications*

  • Bachelor's degree in Healthcare Administration, Public Administration, Business or similar field with at least 3 years of directly related experience or equivalent combination of experience and education
  • Must have demonstrated excellent inter-personal and communication skills, the ability to work in a high-pace environment
  • Must possess exceptional customer service skills
  • Must have a demonstrated history and commitment to personal learning and growth
  • Must possess ability to work independently and within a team, prioritize, and manage multiple assignments
  • Considerable knowledge of Microsoft Excel, Word, and PowerPoint
  • Demonstrated ability to effectively and efficiently manage additional workload as required
  • Demonstrated excellent organizational skills, great attention to detail and ability to maintain confidentiality
  • Leadership skills including integrity, motivation, positivity, team building

Desired Qualifications*

  • Proficiency in the Wolverine Access, M-Pathways, and MiChart environments
  • Progressively responsible experience in the academic medical center setting
  • Innovative and think proactively, with a positive attitude

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
