Job Summary

Zero to Thrive is seeking an Administrative Assistant Senior to support 2 faculty co-directors and Zero to Thrive programming including the MC3 perinatal expansion program. The Administrative Assistant Senior will support program implementation by providing assistance directly to the project team as well as performing general office tasks such as calendaring, ordering and maintaining office materials, scheduling virtual meetings and trainings via Zoom and acting as the initial point of contact for parties interested in the project. This is a fast paced environment requiring flexibility, exceptional communication and organization skills and the ability to independently problem solve.

Responsibilities*

Administrative

  • Maintaining calendars for team members including 2 faculty Program Directors
  • Complete daily office tasks including email and telephone correspondence, ordering supplies, managing travel arrangements, organizing project documents and materials, printing and collating training materials, scheduling, monitoring virtual meetings via Zoom and purchasing supplies.
  • Arranging hosting and travel arrangements

Program Implementation Support

  • Communicate with outside agencies and collaborators to assist in scheduling meetings between provider groups and psychiatrists in Ann Arbor
  • Arrange both live and remote trainings
  • Establish teleconferencing capabilities
  • Support the project coordinator in all tasks regarding program implementation at sites, provider enrollment, and data gathering, for example, collection of provider survey data, focus group and interview data.

Required Qualifications*

Administrative Assistant Senior Healthcare:

  • High school education or equivalent, college degree strongly preferred
  • More than 4 years of administrative experience preferably in an academic or medical setting
  • Proficient with Microsoft Office Program (Outlook, Word, Excel, PowerPoint) and Zoom
  • Experience calendaring for multiple individuals
  • Demonstrated excellent written and verbal communication skills

Administrative Assistant Intermediate Healthcare:

  • High school education or equivalent, college degree strongly preferred
  • Two to four years of administrative experience preferably in an academic or medical setting
  • Proficient with Microsoft Office Program (Outlook, Word, Excel, PowerPoint) and Zoom
  • Experience calendaring for multiple individuals
  • Demonstrated excellent written and verbal communication skills

Background Screening
