Job Summary

The University of Michigan is looking for an experienced executive assistant to support the work of the Assistant Vice President for Student Life and Director of COVID-19 Campus Health Response (director).

You will report directly to, and support, the director. The director oversees all of University Health Services which provides a wide range of medical services to faculty staff and students.  The director is also serving in a term limited position (through December 31, 2021) as the Director of the COVID-19 Health Response Team to respond to the global pandemic (Note. Beyond December 31, 2021, CHRC’s responsibilities have the potential to be transformed and extended, this position responsibilities will continue to support the needs of the efforts until deemed unnecessary). You will have independent responsibility for a significant volume and variety of high-level administrative responsibilities, and for handling matters of a confidential and time sensitive nature.

Focused on providing excellent assistance to the director, the position's demands are variable in type and volume. You will be an important contributor to the office and work together with members of many teams to support and accomplish the priorities of the office, and work closely with (and take direction from) the Senior Lead of the COVID-19 Campus Health Response Committee. The job responsibilities are shaped by the demands of the office, which may vary from day to day, and over time. 


  • Assist with inquiries (some complex) and tasks relating to the director's scope of work with an understanding of ever changing priorities.
  • Prepare high-level briefing documents for meetings, events, and speaking engagements.
  • Modify and organize complex data to support the director in making informed decisions such as pivot tables, charts and graphs.
  • Perform advanced, diversified, and confidential administrative tasks requiring broad and comprehensive experience and knowledge of university practices.
  • Maintain and coordinate complex calendars via Google and Outlook systems and varied and complex meetings, requiring coordination with multiple individuals and departments. This includes responding to frequent changes in schedules and coordination of related arrangements.
  • Utilize various technology platforms to access data and research information as requested.
  • Prepare correspondence, memoranda, reports, meeting minutes, and review and proofread all materials.
  • Initiate and assist with special projects and events that may occur outside of regular business hours.
  • Occasionally provide backup administrative support to members of the team.
  • Prepare P-Card and hosting documentation for reconciliation, and process travel reimbursements and expense reports.
  • Perform other tasks as assigned, and balance changing priorities as needed. 

Required Qualifications*

  • Bachelor's degree and 5 years of progressively responsible administrative experience, or an equivalent combination of education and experience.
  • Evidence of experience exercising professional judgment and discretion.
  • Ability to anticipate problems and confidence to proactively initiate appropriate action or response.
  • Administrative and project management skills working at a high level in an academic or executive setting, including dealing with confidential or sensitive matters.
  • Experience and comfort working in multiple software platforms including Google Suite, Microsoft Office (including Outlook), and Zoom, among others.
  • The ability to anticipate emergent issues and needs, communicate effectively, and quickly adapt to changing priorities.
  • Skills, ability, and orientation toward working as a member of a team.
  • Understanding of and dedication to diversity, equity and inclusion in the university setting.
