Job Summary

The Event Planner position at University Unions and Events will be responsible for logistical planning and partner communication for events at the University of Michigan-Dearborn. This position reports to the University Unions & Events Sales and Event Services Manager and works with student organizations, UM-Dearborn departments, and external clients.


-Provide excellent customer service while responding to inquiries about event design, facilities and availability

-Engage with guests via phone, email and web, to coordinate event details and layouts, and create contracts for customers using event planning software

-Effectively and efficiently communicate comprehensive event details to customers and UM-Dearborn service delivery teams

-Participate in Event Services/Audio-Visual/Catering Forecast meetings as well as other meetings as needed

-Establish and maintain a cooperative communication relationship with our campus contracted catering provider

-Create, log and distribute event documents including agendas, memos, maps, diagrams, and other informational materials, with accuracy being key

-Create and maintain event and client histories.

-Create and post digital and directional signage as needed

-Conduct post event surveys with clients when necessary

-Prepare printed items for events as required

-Confirm and finalize event costs and payments with clients

-Assist in the design and implementation of marketing strategies.

-Build and maintain University Unions’ web & social media presence to support our marketing strategies while following University policies

-Provide on-site staffing for events as requested.

-Perform other duties as assigned

Required Qualifications*

-2+ years of experience in event planning, university-based events, conferences, meetings, workshops and programs

-A bachelor's degree or an equivalent combination of education and experience is necessary

-Demonstrated success in team-based work environment is essential

-Demonstrated excellent interpersonal and customer service skills are required

-Proven leadership experience in event planning

-Strong time management, project management, and problem-solving skills

-Superior written and oral communication and proofreading skills

-Extensive knowledge and experience using Microsoft Office software, including MS Visio

-Experience with event management software for scheduling like EMS or RLive 25

-Experience gathering and disseminating information through various methods, including telephone, email, web, and in-person

-Ability to work with multiple groups and multi-task on projects, as well as capability of working independently and without direction

-Demonstrated ability to support and adhere to all University Unions & Events policies and procedures

-Significant knowledge of and familiarity with conference event-related equipment, including audio visual required

-Demonstrated record of improving sales and optimizing facility utilization

-Must be able to work a flexible schedule and may include early mornings, evenings, weekends, and holidays.

Desired Qualifications*

-Significant familiarity with University of Michigan-Dearborn policies and procedures

-Extensive knowledge and experience using EMS, or similar, event planning software

-Experience with web-based programs like Google Docs and Sheets

-Experience with website content management programs like Drupal, WordPress, etc.

-Experience with social media apps like Facebook, Instagram, & Twitter

-Demonstrated experience working with student employees imparting experiential learning and life-long business skills
