Job Summary

To provide professional administrative services in the Michigan Dialysis Outpatient Clinic. Works under general supervision to perform work that is varied, where problems are complex and problem solving approach is less prescribed. Uses prior experience and education to apply a broader knowledge and skill set to one’s work.  Independent decisions are made within the scope of responsibility.

General and functional supervision is received from Clinical Nursing Director (CND), Clinical Nursing Supervisor and Medical Director.

Responsibilities*

  1. General
    1. Support department leadership, Medical Director and CND as an internal resource for operational activities as well as manage small to medium sized projects.
    2. To provide expertise and support in completing non-patient care tasks including but not limited to time reporting, time keeping, personnel, financial and clinical management.
    3. Manage complex calendar issues, including coordinating meetings, both internal and external, with customers and vendors. 
    4. Remain compliant with Renal Research Institute (RRI) and Michigan Medicine (MM) competencies.
  2. Unit Based Timekeeper
    1. Assist with preparing ancillary and nursing schedules in accordance with UMPNC using OneStaff program.
    2. Prepare and submit bi-weekly and monthly nursing and ancillary staff payroll using the OneStaff program and Wolverine access in accordance with UMPNC and MM guidelines.
    3. Support staff in resolving and troubleshooting all payroll discrepancies and issues.
    4. Maintain and reconcile Gross Pay Registers, make adjustments as necessary and timely follow-up with staff involved, adhering to UM Policies and Procedures.
    5. Monitor and reconcile PTO and FMLA records.
    6. Attend timekeeper meetings and classes.
  3. Assist with Unit Based Administration
    1. Provide general office support including copying, organizing and distributing documents.
    2. Responsibility for delegated defined parts of small projects or phases of larger projects.
    3. Retrieve, screen, prioritize and route all written and electronic correspondence, phone calls, and outside requests, responding and/or acting on behalf of the leadership team where appropriate.
    4. Report to the Midwest Kidney Network on an ad hoc and monthly basis all ESRD patient activity.
    5. Report to Crown Web 2728/2746 for admissions and discharges.
    6. Assist in preparing for presentations including power point, graphics and other documents as required.
    7. Attend monthly Quality meetings and take minutes.
    8. Attend monthly Administrative Assistant meetings.
    9. Maintain documentaton of CMS readiness documents, staff attendance and other documents as directed.
    10. Operate standard office automation devices such as fax, scanner, printer and copier including responsibility for basic maintenance tasks such as replacing toner and paper as well as contacting the vendor for service.
    11. Set agendas, secure room reservations and catering for meetings.
    12. Maintain calendars, plan meetings and functions and coordinate travel arrangements.
    13. Compose correspondence of sensitive nature.
    14. Other administrative duties as required.
  4. Assist CND with Personnel Management
    1. Maintain personnel records/blue folders in accordance with JACHO guidelines.
    2. Obtain computer sign-on authorization for all new employees.
    3. Prepare and submit temporary employee paperwork.
    4. Assist with bid retrieval from the appropriate system.
    5. Assist as needed with processing new hires.
    6. Assist the CND with the evaluation process. Send reminders to staff regarding upcoming evaluation timeframe and enter performance rating into the appropriate system.
  5. Assist Unit Leadership with Financial Management
    1. Reconcile the P-Card statements using appropriate system; procure goods/services using UM Purchasing Card.
    2. Prepare and submit travel, hosting, tuition reimbursement for staff and leadership using appropriate system.
    3. Maintain nursing and ancillary education money and paperwork for reimbursement for staff in accordance with UMPNC and MM guidelines.
    4. Complete daily validations and enter into appropriate system.
    5. Participate in cost quotations from vendors.
    6. Purchase program expenditures such as computers, equipment and medical supplies under the direction of the CND.
    7. Prepare ad hoc financial reports as requested.
    8. Obtain Purchase Orders online and review expenses as needed with leadership.
    9. Responsible for purchasing supplies, Procurement Services.
    10. Collect and submit monthly treatment numbers.
  6. Assist CND with Clinical Management
    1. Compile patient data reflecting monthly and yearly activity in all departmental programs.
    2. Maintain patient databases as requested.
    3. Attend meetings to represent the unit and to provide support and maintain minutes and agendas.
    4. Purchase program expenditures such as computers, equipment and medical supplies under the direction of the CND.
    5. Assist with quality assurance and performance improvement data collection.
    6. Provide coverage of the front office when the PSA is on PTO or lunch including checking in and screening patients, making future appointments and handling phone calls.  
  7. Confidentiality
    1. Maintain patient confidentiality.
    2. Maintain confidentiality around performance and personnel issues that arise for staff.
  8. Other duties as assigned.

Required Qualifications*

  1. High school graduate or GED
  2. Minimum of four years administrative experience 
  3. Proficient in general computer skills including Microsoft Office
  4. Effective time management and problem-solving skills
  5. Strong attention to detail
  6. Experience working with direct customer responsibilities
  7. Excellent communication skills
  8. Ability to work well as part of a team and adapt to change in a positive manner
  9. Documented history of excellent punctuality and attendance

Desired Qualifications*

  1. Ambulatory clinic experience including dialysis experience
  2. Working knowledge of medical terminology
  3. Experience with electronic medical records
  4. Basic cardiac life support (BLS) certified
  5. Knowledge of Michigan Medicine policies and procedures

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
