Reporting to the Associate Director of Operations, the Assistant Director of Operations supports the commercialization of University of Michigan technologies by assisting with the development and implementation of administrative policies and managing process improvements. The Assistant Director must think strategically to manage Tech Transfer’s compliance and intellectual property data management programs, which includes overseeing OTT’s federal and non-federal compliance and reporting, invention disclosure intake, patent data entry and docketing, database administration, agreement maintenance, data analysis and reporting, and supervising employees as part of these operational programs.

Responsibilities*

Management Responsibility

The Assistant Director is responsible for supervising a small team of operational positions within OTT.

Intellectual Property Data Management Program

The Assistant Director manages OTT’s IP data management program, which includes new invention disclosure intake, intellectual property correspondence & data management, patent docketing, patent annuity fee management, and general data integrity and management. This includes, but is not limited to:

  • Data entry for patent records, annuity matters, and related events
  • Monitor and process daily patent correspondence to capture new applications, status updates, patent deadlines, prosecution decisions, and instructions within OTT’s database
  • Docket administration for events and deadlines associated with US and foreign filings
  • Ensure timely and accurate entry of patent data within OTT’s database systems

Compliance Program

The Assistant Director manages OTT’s funding compliance program to ensure compliance with all invention and intellectual property obligations contained in federal and non-federal sponsored research agreements/awards. This includes the reporting of new intellectual property (IP) developed under a funding agreement/award as specified within the terms of each agreement/award, along with any patents, license agreements and products that flow from the IP. Interactions are tracked and managed in OTT’s Information Management System (currently Sophia). The Assistant Director manages federal iEdison/Bayh-Dole reporting for the University of Michigan and represents the organization to foster positive relationships with federal agencies, industry sponsors, inventors and other stakeholders.

Business Process Management

The Assistant Director actively collaborates with the Associate Director of Operations and other OTT management to develop and implement policies and processes to support OTT’s strategic plan. This includes identifying inefficiencies, proposing process improvements, documenting processes on OTT’s Knowledgebase Wiki, and communicating process modifications to the entire OTT team. The Assistant Director will work closely with the Associate Director of Operations to develop a culture of continuous improvement within OTT.

Required Qualifications*

  • Bachelor’s degree in Business Administration or a related field, or combination of education and experience
  • 2-4 years of experience in a university tech transfer office or similar environment
  • 1-3 years of management experience (preferably in a university tech transfer office)
  • Project development and documentation skills
  • Experience developing and implementing processes that improve business outcomes
  • Strong organizational and analytical skills
  • Strong interpersonal skills necessary to lead a team in a highly collaborative environment
  • Self-motivated with the ability to efficiently and effectively multitask, prioritize and problem solve

Desired Qualifications*

  • 5+ years of experience in a university tech transfer office or similar environment
  • Database administration & management experience
  • Query and custom report creation or modification experience
  • Experience with legal documents, specifically compliance and intellectual property related, or relevant legal/paralegal experience
  • Excellent communication skills and ability to collaborate with multiple stakeholders at varying levels

Work Schedule

The team is currently working remotely. Depending on campus-wide plans for the fall and the individual hired, you may be remote or hybrid.

Underfill Statement

This position may be underfilled at a lower classification, Administrative Specialist, depending on the qualifications of the selected candidate.

The salary for this position will be based upon the selected candidate’s education and experience.

Background Screening
