Job Summary

The Center for Academic Innovation (CAI) at the University of Michigan is seeking a qualified and a strong customer oriented Human Resources (HR) Operations Assistant to provide administrative support to human resources operations at the Center for Academic Innovation and partial support to the Duderstadt Center. In this role, the Human Resources Operations Assistant will provide administrative support to various HR processes and will be responsible for all HR transactional work for regular, temporary and student staff. The HR Operations Assistant will support team members by problem solving, researching and responding to routine questions on human resources policies and procedures. This position will report to CAI’s Talent Management and Organizational Development Lead (TMODL).

Responsibilities*

  • Provide support to hiring processes by submitting job postings,creating candidate trackers, tracking candidate resumes and updating hiring managers through ongoing and clear communication and systems.
  • Provide support to recruiting efforts by posting positions in internal and external job boards as requested by TMODL and hiring managers.
  • Coordinate the scheduling of candidate interviews for all searches across the CAI.
  • Process candidate offers, monitor appointments in the University’s HR system and update other members of the Operations team as needed.
  • Provide support to the onboarding and offboarding processes.
  • Submit and monitor claims related to medical, maternity, parental and FMLA and provide support to team members by working with the University Central HR office, researching systems and answering routine questions as needed.
  • Provide support to the I-9 process by submitting requests for team members and answering questions as needed.
  • Provide timekeeping support by communicating time reporting deadlines and working with the University's Payroll Office to resolve questions.
  • Provide administrative support to the University’s effort certification process.
  • Maintain organizational charts in partnership with the Marketing and Communication team.
  • Provide administrative support to professional development events such as scheduling, logistics and revision of materials as needed.
  • Provide support to the Performance Management process and Merit Program as needed as assigned by the TMODL.
  • Provide support to the CAI New Employee Orientation process and materials.
  • Provide general administrative support to HR processes by updating documents, preparing letters, creating spreadsheets, running reports, organizing folders and making sure electronic filing is being kept accurately.
  • Provide general administrative HR support to special projects, transactional and operational work as needed to CAI, the Duderstadt Center and other areas of the Office of the Vice Provost for Academic Innovation.

Required Qualifications*

  • Associate’s Degree.
  • 2 - 5 years of experience in administrative support and transactional work related to human resources.
  • Proficient with word processing, spreadsheet, and presentation applications such as Google Docs, Sheets, and Slides.
  • Ability to handle sensitive and confidential information.
  • Ability to operate in a fast paced environment and execute non-routine duties and tasks.
  • Strong organizational skills, attention to detail and ability and accuracy.
  • Ability to resolve most questions and issues, and refer only the most complex issues to higher level authority as needed.
  • Excellent verbal and written communication skills.
  • A positive and empathetic customer-focused attitude.
  • A strong work ethic and collaborative attitude.

Desired Qualifications*

  • Bachelor’s Degree.
  • Experience in Human Resources operations.
  • Familiarity with administrative processes, procedures, and systems at UM, including M-Pathways (PeopleSoft) and reporting tools (e.g., Business Objects).

This is not a remote position and any adjustments to a standard in-person schedule will be discussed during the hiring process.

The salary for this position will be based upon the selected candidate’s education and experience.

Background Screening
