Job Summary

The College of Literature, Science and the Arts (LSA), Office of the Associate Dean for Undergraduate Education (UGED) is hiring a business administrator to join our management team. The College of Literature, Science and the Arts is the largest College at the University of Michigan and is home to over 4,500 faculty, staff, LEO Lecturers, Graduate Students, and temporary staff.

This Business Administrator position is one of two business administrators reporting to the Chief Administrator of UGED and will provide strategic partnership and guidance on fiscal, HR, and related policies for an assigned group of divisional UGED departments.  The administrators work together as a team and provide backup coverage for other team members, as needed.  Portfolio groupings will be assigned during onboarding and are subject to change to balance administrator workloads and best serve the division.  
Additionally, the selected candidate will assist the UGED Chief Administrator with Division-wide managerial projects, strategic initiatives, and resolve any department based operating and managerial concerns.

The Undergraduate Education Division (UGED) includes approximately twenty-four academic and academic support departments from across the College dedicated to student exploration, engagement, and learning. We offer curriculum and advising support as well as instructional support for both students and faculty. The division also houses the LSA curriculum committee and the Curriculum Support department that runs Applied Liberal Arts and University Courses each term. Many of our academic enrichment programs feature high impact educational experiences, such as study abroad, undergraduate research, and civic engagement. We also serve as an incubator for curricular and co-curricular innovation. These positions are a key part of the UGED Associate Dean’s Office Management Team and will report to the Chief Administrator for Undergraduate Education. Divisional, School, and University Responsibilities

Participate in long-range planning activities for the Undergraduate Education Division and assigned departments in conjunction with the UGED Operational and Business Administration Teams, particularly in terms of the organizational structure of staff and resource use, including the exploration of shared staffing arrangements and evaluation of financial allocations across departments.

Provide guidance to Associate Dean, Assistant Deans, and department staff on the interpretation of University and College policies and procedures. Coordinate and develop cross-unit research funding agreements. Represent the Office of the Associate Dean for Undergraduate Education on College-wide committees, as assigned.

Provide special project management for the Chief Administrator, Assistant Deans, and the Senior Management Team: Manage special projects, as directed, including research and investigation of issues, and development of solutions with agreement from departments and staff. 

Human Resource Responsibilities

Partner with the LSA UGED Human Resources team, UGED Chief Administrator, Assistant Deans, and Department Directors on human resource matters including hiring, training, and compensation rate recommendations; performance management and performance concerns; and appointment changes.

Provide operational and strategic guidance in a collaborative, team-oriented environment with support for professional development of administrative staff in the departments; collaborate on the development of job descriptions for non-academic positions in the departments; in partnership with Senior HR, review positions for appropriate classification and compensation level; participate with recruitment processes and join search committees for open positions in assigned departments including oversight for procedures related to recruitment, equity, promotion and appointments.

Serve as a liaison to the UGED HR team, which provides resources for Undergraduate Education departments on a variety of HR activities (recruitment, employment and labor relations, compensation, employee and organizational effectiveness).

Provide managerial guidance for the assigned departments’ performance evaluation process and maintain a program for self-development in conjunction with the Chief Administrator for Undergraduate Education.

Financial Resource Responsibilities

Provide strategic guidance to UGED Assistant Deans and a cluster of 6 to 9 of the Division's departments for financial and budget matters, working in partnership with a team of LSA Finance staff located within the Dean's Office and the UGED Chief Administrator. The collective effort of this team supports the directors and administrative staff of the assigned departments. In conjunction with this team, the Business Administrator develops and provides training on fiscal tools, policies, and practices, with the goal of department self-sufficiency on routine managerial tasks.

Provide strategic advice and counsel to the Assistant Deans and assigned department Directors on financial, budgetary, and staffing issues.  Monitor and maintain budget policies set forth by the College of LS&A and Division leadership. Advise the Assistant Deans regarding optimal uses of financial resources for planning and management discussions.  Partner with LSA Finance to implement and provide oversight for financial policies and procedures, maintain written policies and procedures for internal control purposes, review management reports on a regular basis, and monitor areas of concern and assure that activities are in compliance with governing rules and policies. Collaborate with the LSA Finance team assigned to the Division of Undergraduate Education in completing the gap analysis and sub-certification for assigned departments.

Provide advice on arising needs and oversee the provision of financial and other research-related reports to the position’s assigned departments in Undergraduate Education.
Partner with the finance business analyst team to review financial information such as budgets, projections, quarterly reports, and internal controls. Review all reports provided by business analysts and meet monthly to discuss findings or irregularities. Keep division and departmental staff informed of best practices, policies, and procedures by meeting with the business analyst team regularly.

Required Qualifications*

  • Bachelor's degree or equivalent is required. An advanced degree is preferred
  • 2 or more years of supervisory or human resource experience; strategic planning experience; and developing and managing budget controls and analyzing financial data
  • At least 2-3 years’ of progressively responsible strategic and management work experience in a higher education environment
  • Experience in helping departments through transitions, managing staff, change management, and working within a collaborative management structure
  • Ability to build trusted relationships within and across organizations
  • Excellent interpersonal and leadership skills
  • Strong organizational skills and attention to detail
  • Ability to work independently and interactively as part of a team
  • Excellent verbal and written communication skills
  • Must demonstrate a collaborative, proactive, and goal-oriented approach to administration practices
  • Ability to serve as an effective partner to the Chief Administrator, Assistant Deans, and Directors
  • Demonstrated ability to react to changing priorities
  • Comfort in working in a fast-paced environment encompassing a wide breadth of responsibilities

Desired Qualifications*

  • Advanced degree preferred
  • 5-7 years’ of progressively responsible strategic and management work experience in a higher education environment
  • Knowledge of UM/LSA policies and procedures strongly preferred
  • Advanced skills in MS Word, Excel, and Google
  • Familiarity with central database data access via Business Objects or similar application
  • Experience in using the M-Pathways systems for financials, student services, and human resources functions
  • Familiarity in a research environment in conjunction with grant/contract proposal preparation
  • Ability to work within the College's strategic initiatives to make progress towards the University’s identified missions including diversity, equity, and inclusion
