Job Summary

In partnership with the Division Director, provide leadership and support in the management of the clinical, research, and educational missions along with the administrative and financial functions within the Divisions of Pediatric Adolescent Medicine, Developmental and Behavioral Pediatrics, Neurology, and Pulmonary as part of the Department of Pediatrics.  This includes providing direct oversight, support, and management of the daily operational activities of the divisions.

Responsibilities*

Assist the Division Director with the overall management of all divisional activities including clinical care, research, education, finance, revenue cycle, human resources and other duties as assigned.

Responsible for the management of all divisional accounts including operating, discretionary, research, gift, and clinical hospital accounts. Review account balances with designated faculty on a routine basis. Monitor all accounts for continuous cost effectiveness opportunities; initiate recommendations for reducing costs and/or increasing revenues.

Manage the oversight and preparation of travel/hosting expenses reports, effort certification, and other standard university documentation; review all documentation for accuracy and appropriateness prior to submission. Approve all expenditures pursuant to established University and Departmental guidelines.

Participate in the annual Hospital and Medical School budget process. Provide reports of projected revenue/expenses of divisional accounts and projected clinical activity as required by Pediatric Administration, Medical School and/or Hospital administration. Provide variance reports and plans of action for corrections as applicable.

Maintain signature authority to approve expenditures on all divisional accounts.

Provide leadership and oversight, as applicable, for the clinical areas including outpatient clinics, procedural areas (catheterization, electrophysiology, echo, and electrocardiogram labs), and multiple outreach sites.

Collaborate with Pediatrics and the Department of Strategy in establishment and maintenance of clinical outreach activity as applicable. This includes needs assessment, contracting, clinical workflow and invoicing.

In partnership with administrative and faculty leadership, respond to and resolve patient questions and follow-up on the resolution of patient complaints and problems in a timely manner.

Oversight of all capital equipment purchases including determining clinical need and establishing funding sources following Michigan Medicine policies and procedures.

Provide analytics and reporting on various types of data (including but not limited to clinical, research, educational, and financial) on a routine basis while overseeing operational and divisional activities and identifying opportunities for improving operations.

Oversight and management of all human resource activities for the division including direct supervision of supervisors and staff within the division. This includes interviewing, hiring, disciplinary actions, performance evaluation, timekeeping and discharge of staff.   Oversee the maintenance of job descriptions, training, and competencies required for all staff positions.

Manage faculty and staff moves, renovations, and relocations within the division space by initiating and supervising work orders, addressing maintenance issues, and resource needs required for division.

Assist Division Director in new faculty and fellow recruitment process, justification documentation for the Medical School and Department, creation of offer letters, coordination of the appointment process with Pediatric Faculty Affairs Office. Oversee faculty onboarding processes.

Partner with advanced practice provider nurse manager to provide administrative support for members of the advanced practice provider teams.

Manage and assess appropriate clinical, administrative, research, education and leadership effort assignment and funding for faculty.

Partner with the Division Director and Department leadership to compile the necessary documents needed for the participation in the divisional annual review process.

Responsible for compliance of all regulatory regulations including The Joint Commission (TJC), Centers for Medicare and Medicaid Services (CMS), other regulatory agencies, and all Michigan Medicine policies and procedures.

Develop and implement operational policies, procedures, and guidelines for faculty and staff.

Participate in continuous quality improvement projects and teams within the Division, Department and/or Michigan Medicine.

Participation in the completion of all surveys as needed, including US News and World Report, Michigan Department of Community Health (MDCH), Centers for Medicare and Medicaid Services (CMS) and other organizations as needed.

Identify and resolve daily and long-range operational problems including but not limited to clinical operations (scheduling, patient flow, etc.), revenue cycle, research, education, human resources, and financial management.

Attend and participate in Divisional, Departmental, Hospital, and Medical School administrative meetings as required; serve as the communication link between the Division, Department, and Michigan Medicine.

Special assignments and/or other duties as designated.

Required Qualifications*

  • Bachelor’s Degree (Master’s preferred) in Health or Business Administration; or equivalent combination of education and experience.
  • Greater than 5 years of direct experience in health care field including knowledge in the areas of clinical operations, research and grant activity, financial management, medical education, and human resources/personnel management.
  • Excellent communication skills (verbal and written) to enable effective leadership and management as part of a diverse workforce.
  • Demonstrated ability to be an effective leader, communicator, and manager in a dynamic organization.
  • Ability to work independently and as part of a leadership team with the ability to adapt to the ever-changing healthcare environment.
  • Proficiency in organizational skills and planning with the ability to prioritize and manage multiple demands.
  • Proficiency in computer applications including Microsoft Office Suite programs.

Desired Qualifications*

  • Direct experience in the specialties of Pediatrics, Adolescent Medicine, Developmental and Behavioral Pediatrics, Pediatric Neurology, and/or Pediatric Pulmonary.
  • Familiarity with University of Michigan and Michigan Medicine administrative policies and procedures along with medical school and hospital financial operations experience.
  • Familiarity with Tableau and/or other data analytic/report generating platforms.
  • Experience utilizing the EPIC electronic medical record platform.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
