The 30,000 square foot facility is located at 2850 S. industrial Hwy, Ann Arbor, MI. What skills would you be responsible for?

  • Serve as the O&P receptionist, providing excellent customer services to faculty, students, staff/clinicians, and visitors. Manage all incoming non-patient calls, directing inquiries as appropriate.
  • Manage/maintain the Medical Director’s calendar and provide administrative support for ACU specific activities.                
  • Order and maintain office supplies and copiers.
  • Manage the daily attendance process by updating the departmental calendar, attendance tracking document and distribution to staff.
  • Process departmental PTO requests, including verification of PTO balances, ensure appropriate level of coverage, communicate approvals, maintain documentation, and update departmental outlook calendar for payroll reconciliation.
  • Maintain O&P email distribution groups, internal staff directory/home/phone and staff lists.
  • Assist in the recruiting process by scheduling interviews, provide admin/clerical support for the onboarding of new staff, coordinate orientation/training meetings and distribute orientation packets.
  • Work closely with other departments across the organization, such as KMS Billing, Research, Marketing to coordinate/schedule meetings and conferences.
  • Block/update MiChart clinician grids (as appropriate) for participation in key meetings.
  • Record/distribute minutes for various meetings.
  • Provide cross coverage for administrative assistants across the CMC/PM&R segment.
  • Serve as a residency coordinator/aid the O&P Residency Director- maintain all applicant materials, manage applicant process/data, coordinate/schedule interviews, assist with the onboarding process, process NCOPE payments, etc.
  • Perform timekeeping functions and payroll reconciliation as it relates to all clinical and technical staff.
  • Reconcile P-Card charges, travel, and other expense reports.
  • Manage/maintain the ‘Fabrication QA’ Access database, including daily data entry of rubric scores & appropriate follow-up to ensure completed documentation/scoring for all O&P devices.
  • Maintain/track continuing education and registration/membership to ensure ABC compliance.
  • Manage day to day facility operational issues and work closely with maintenance, bio-med, HITs, etc. to resolve/fix equipment/machinery breakdown in the lab/patient rooms, custodial, building and computer issues.
  • Track staff training mandatories to ensure compliance.
  • Assist with special projects as needed to support the goals and objectives of the department.
  • Support staff with UMHS safety policies and procedures.
  • Additional duties as needed and delegated by Administrative Manager.

Required Qualifications*

  • Associates degree in healthcare administration, business administration, or related field or an equivalent combination of education and experience.
  • Minimum of 4 years of experience.
  • Proficiency in Microsoft Office software, as well as other databases, e-mail, and calendar-keeping software.
  • Strong interpersonal skills and ability to successfully work with all levels of faculty and staff.
  • Must possess demonstrated ability to take initiative, work independently, prioritize, manage multiple assignments, and follow through on job responsibilities.
  • Demonstrates ability to collaborate with others in a team environment, display leadership through problem solving and the initiative to advance knowledge.
  • Team oriented individual.
  • Ability to exercise a high level of initiative, discretion, and judgement regarding sensitive and confidential matters.

Desired Qualifications*

  • Knowledge of University policies and procedures
  • Demonstrated ability to work effectively with individuals and groups from a variety of identities, culture, backgrounds, ideologies, including personal and social identities.
  • Experience with MiChart.
  • Knowledgeable of medical terminology, preferably in the field of Physical Medicine, Orthotics and Prosthetics.

Work Schedule

This will be a Full-Time (Non-Exempt), 40 hours per week; 8:00am – 5:00pm, Monday – Friday schedule.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
