Responsibilities*

The Animal Care and Use Office (ACUO) seeks a talented and motivated individual for a position providing support to the Animal Care and Use and Research Safety Compliance departments. The offices support several compliance committees (e.g., Institutional Animal Care and Use Committee, Institutional Biosafety Committee, Controlled Substances in Research Committee, and others). The individual in this role must be able to work independently in a rapidly changing environment while effectively addressing and managing significant competing priorities and duties. Under direct supervision, the Administrative Assistant responsibilities are, but not limited to, the following: Serve as a point of contact for the ACUO, screen, prioritize and route all correspondences following established procedures. Process forms and ensure compliance with protocol requirements. Support committees through meeting support including minutes, meeting preparation and document management. Assist Director’s administrative assistant with the support of the Director. Maintain data and run reports from various sources. Communicate and assist faculty and laboratory members with forms and required actions. Organize and order office supplies, posters, printings. Oversee maintenance of office facility, equipment, copier, and printers. Assist with new employees. Manage room reservations for multiple committees, and plan meetings and small events. Function as an effective member of a multidisciplinary team. Address a wide variety of miscellaneous departmental requests. Complete projects and process improvements. Participate in focus team efforts.
 

Required Qualifications*

Bachelor’s degree or equivalent combination of education and experience. 2 to 4 years of experience with progressively responsible administrative work. Strong attention to detail and follow-up. Advanced skills with Microsoft/Google office suites and comfort with learning new software. Demonstrated ability to interact professionally with a diverse group of customers providing a high level of service. Ability to follow established procedures, handle a variety of tasks concurrently, set priorities and meet deadlines. Excellent interpersonal, verbal, and written communication, as well as collaborative skills. Ability to exercise independent good judgement, confidentiality and diplomacy. Demonstrated organizational skills and initiative. Ability and desire to work independently, be part of a team and a self-starter.

Desired Qualifications*

Experience working in an academic environment. Experience with calendaring, Concur travel and P-Card reconciliation.

Work Schedule

Monday - Friday, 8 am - 5 pm

Position starts ASAP, and is expected to last up to 6 months or until filled with a regular hire.
