The School of Music, Theatre & Dance is looking for a highly organized, enthusiastic, and experienced individual to provide professional production and event support to the Walgreen Drama Center community. Reporting to the Department Manager & Artistic Administrator, the Production/Events Coordinator will support the faculty and students of SMTD by coordinating performances and special events for the Department of Musical Theatre and the Department of Theatre & Drama. This position will exercise initiative, independent judgment, diplomacy and have a service-oriented attitude while working with and supporting the Walgreen community.

This position will work primarily in person, days and hours to be determined by the Department Manager. There will be some evening and weekend hours. 

Responsibilities*

  • Plan and carry out logistics for numerous productions and events ranging in size and complexity. This includes: 
    • Develop and manage timelines, coordinate calendars, and travel schedules
    • Communicate with program stakeholders and participants
    • Collaborate with other University and SMTD departments
    • Arrange catering services, prepare event materials, arrange audio/visual system requirements
    • Identify, recruit, and manage students to assist on productions and events
    • Provide on-site event support
    • Maintain event-related budgets and reconcile financial transactions (P-cards, shortcodes)
    • Examples of productions and events: faculty retreats, faculty special projects, student produced theatre, New Works Festival, annual department showcases, SMTD development events, and studio productions.  
  • Manage non-curricular scheduling for classrooms and studios in the Walgreen building. Communicate and enforce building use policies. 
  • Manage guest artist visits including arranging travel, hotel, and transfers, compiling itineraries, and completing payment requests. 
  • Manage and coordinate logistics for student travel events, domestically and internationally including booking travel, developing and submitting required safety plans, and ensuring all participants understand UM travel policy and procedures.
  • Other duties as assigned.

Required Qualifications*

  • Minimum of 3 years of theatre production or event management experience required. Bachelor’s degree preferred.
  • Background in theatre production, especially stage management or company management.
  • Excellent partnering skills and initiative experience including the ability to work in cooperation and collaboration with faculty, staff, and students.
  • Must have a proven track record on meeting deliverables, excellent interpersonal skills, and a demonstrated aptitude in handling and resolving details. 
  • Working knowledge and proven experience with Microsoft Office Suite (to include Word, Excel, PowerPoint) and Google Suite.
  • Ability to work under pressure and handle multiple projects with proven accuracy, productivity, and high success rates.
  • Must have the ability to work evenings and weekends as needed
  • Self-directed with demonstrated ability to work in a team environment 
  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
