Summary
The Survey Research Operations (SRO) unit of the Survey Research Center (SRC) is seeking an Administrative Assistant Intermediate. SRO is the operations branch of the SRC at the Institute for Social Research (ISR). This position will support both the director?s Office and the Technical Services Group (TSG), which is responsible for the development and support of systems and tools used to manage survey and data collection operations and processes including respondent contact, sample management, computer assisted data collection, resource management, reporting, and quality assurance.

Responsibilities*
You will be an integral part of the administrative support team, with broad responsibilities managing a range of administrative duties:
- Provide overall administrative support to SRO and to the TSG administrative team, approximately 10 staff, and act as a knowledge source regarding University and ISR policies and administrative processes for all members of TSG, approximately 40 staff. Coordinate with other administrative assistants across the SRO unit to ensure overall consistent support throughout the organization.
- Assist with staff recruitment, personnel transactions, and related processes. Includes completing posting and hiring documents, orientation to the unit, all appointment termination and close out activities, complete MCard and access forms (building and computing), and other administrative support duties as assigned.
- Provide administrative support for procurement processes including placing orders for software with U-M ITS, SRC Computing or other direct suppliers, and maintaining documentation and tracking of software licenses and usage within TSG. Research, purchase, and maintain office supplies and equipment as needed. Reconcile purchasing card (PCard) transactions for designated staff.
- Maintain supervisor files, schedule meetings, reserve conference rooms, set up Zoom meetings, coordinate equipment and room setup, order supplies, prepare meeting agendas and minutes, coordinate all travel and logistic arrangements for members of TSG, assist with coordinating unit?s annual performance evaluation process, participate in the development of units policies and procedures and disseminate information to unit members. Prepare confidential correspondence, assist in the creation of slide presentations, create or maintain spreadsheets, maintain databases, proofread or copy edit text materials, and use content management software to make edits and modifications to digital content.
- Work closely with other administrative support personnel to assist in maintaining administrative support consistency throughout Survey Research Operations.
- Maintain unit MCommunity (email) groups and update as needed. Submit computing help desk and facility requests for staff as needed. Assist with space management (including space moves, furniture ordering, disposition of office equipment, etc.)
Required Qualifications*
- Bachelor?s degree or equivalent administrative assistant experience required.
- Minimum of 2+ years of administrative support experience in a professional work setting.
- Detail oriented and strong communication skills.
- Discretion when dealing with highly sensitive information.
- Ability to set priorities, handle multiple assignments and deadlines, and to display excellent judgment while operating in a flexible and professional manner.
- Extensive demonstrated knowledge and skill using MS Office software: Word, Excel, PowerPoint.
- Demonstrated ability to work independently, with a significant level of responsibility and minimal supervision.
- Demonstrated ability to lead and coordinate complex tasks such as conference and meeting planning (in-person and via Zoom).
- Experience in preparing documents, materials, and forms for distribution to others. Examples of work product may be requested.
Desired Qualifications*
- Knowledge of University of Michigan policies, procedures, and regulations.
- Experience using content management software to make edits and modifications to digital content.
- Knowledge and skill using industry-standard desktop publishing software such as Adobe.
- Experience working in Concur or a similar travel and expense system.
- Experience using Google Workspace (Google Drive, Google Docs, Google Spreadsheets, Google Calendar).
