Summary
We are looking for someone to provide administrative support to the Assistant Vice Provosts (AVPs) in the Vice Provost for Budgetary & Academic Affairs division of the Office of the Provost, at our Ann Arbor Campus. You will support the unit's daily functions, and coordinate special projects. We are looking for someone who anticipates and resolves problems, and has experience contributing to administrative, business, and planning functions, and who values great teamwork and collegiality. You will report to both the Assistant Vice Provosts and the Chief of Staff in the Provost's Office.

The salary range for this role is: $60,000 - $70,000

Responsibilities*
65% - Administrative Support
- Coordinate complex calendars by scheduling in-person meetings, virtual meetings, and conference calls with a high level of attention to detail
- Coordinate logistics of in-person meetings, conferences, and events including room reservations, refreshments, and materials preparation
- Assist the Vice Provost in managing projects and deadlines and improve their workflow
- Represent the Provost's Office to a broad range of individuals through various modes of communication
- Coordinate travel itineraries and reconcile expenses
- Handle confidential matters using your knowledge of organization practices
- Provide back-up support to other Provost office staff
- Work across a large, decentralized organization with diverse groups
35% - Budget and Facilities Planning Analytical Support
- Research and summarize budget and facilities planning issues through the use of internal and external data systems, and publicly available information through the use of tools such as
- Excel, Business Objects, Tableau, and Word
- Create and maintain planning templates for use across units.
- Create and review presentation materials for a wide range of constituents
- Help with the review and maintenance of website content, policies, and guidelines
- Compile and verify data from a variety of internal and external sources
- Circulate surveys, compile results, and monitor for completion through tools such as Qualtrics, Excel, and Sheets
Required Qualifications*
- High School Diploma and minimum of 5 years administrative experience
- Demonstrated history of skillfully assessing and prioritizing issues and obligations for supported leaders
- Demonstrated history of complex task completion while demonstrating a deep concern for all the areas involved, no matter how small
- Strong written and oral English language skills and the ability to represent the Provost's Office to a broad range of constituents
- Considerable knowledge of advanced business software and computer applications
- Demonstrated commitment to the principles of diversity, equity, and inclusion
- Strong sense of commitment, responsibility, and desire to serve the Office of the Provost and Executive Vice President for Academic Affairs and the mission of the University
- Willingness to learn the budget perspective on university operations and apply it to our communications
- Ability to work accurately and analyze data to check for errors and inaccuracies.
