Job Summary
This position is part of the College of Engineering (CoE) Student Affairs team, which provides academic, financial, engagement, professional, and personal support to all students throughout the College. As a unit within the Office of Student Affairs, the Academic Services team supports the diverse, complex, and changing needs of Michigan Engineering. We ensure adherence to academic, university, and federal policies, preserve academic integrity, safeguard the security of academic records, and provide accessible services to our community. This is achieved through transparency, knowledgeable staff, and effective and efficient processes that ensure propriety, confidentiality, and accuracy. We foster collaboration, knowledge-sharing and best practices amongst our community, and support all engineering students.
The Academic Services Administrative Assistant provides support to the CoE Office of the Registrar's Office and to the Transfer Credit Evaluator. This role will support community members seeking assistance with academic records, including course and program modifications, general curriculum inquiries, as well as with external transfer credit processing, summaries, and inquiries.

Responsibilities*
- Support the Academic Services and Office of Student Affairs by greeting and directing visitors, answering phone calls and emails, receiving and when needed scanning transcripts from international students, and overseeing walk-in traffic.
- Provide administrative support to the CoE Curriculum Committee, including creating the agendas, providing meeting minutes, providing curriculum-related guidance as it relates to policies and procedures, maintaining curriculum documentation, sending messages to staff and faculty curriculum contacts using developed communication plan, and processing course approvals and program changes.
- Provide general administrative support to CoE Registrar's Office by greeting visitors, managing email, phone calls and office mail and updating the CoE Bulletin as it relates to courses and programs.
- Prepare/maintain student records and enforce the College's policies and procedures for both undergraduate and graduate students.
- Review, assess, track, and process student external courses, test scores, and transcripts to determine academic credit and eligibility for the transfer of courses and credit hours toward degrees and specialized programs, including study abroad, for newly admitted and current undergraduate students. Post external courses and test credit to U-M student transcripts.
- Support the maintenance of both domestic and international course equivalency databases.
- Communicate and coordinate with faculty, department, representatives, students, and professionals at other schools and universities regarding the evaluation of external courses and application of transfer credit.
- Participate in College committees, working groups, and strategic initiatives with particular focus on evaluating current transfer credit and curriculum systems and procedures for improvement.
- Develop and manage communications on course selections and transferability of courses, including web content updates, updates to College Bulletin, and other methods of communicating current transfer policies and procedures.
- Perform other duties as assigned to support the Office of Student Affairs.
Required Qualifications*
- An associate's degree in education, business administration, management, social science, or related field, or combination of education and experience will be considered
- 2-4 years in progressively responsible office experience, demonstrating administrative capabilities and skills or equivalent work experience
- Proficiency with various technologies, including Microsoft Office products, including familiarity with Excel, Adobe, and Google Workspace
- Excellent communication, interpersonal, and organizational skills
- Demonstrated ability to work well within a team as well as independently
- Demonstrated organizational and time management skills, including ability to prioritize multiple projects simultaneously and successfully meet deadlines
Desired Qualifications*
- Experience in an admissions office, student service office, or other academic service unit
- Proficiency in university systems such as Oracle Peoplesoft (MPathways) or similar tools
- Knowledge of University policies, higher education, curriculum, or transfer credit articulation
Work Locations
Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. For this position, the anticipated number of days in office is approximately 3-4 days per week, with the remainder being remote.
