Summary

This is a float position that plays a critical role in providing high quality administrative support to the Clinical Nurse Director, Clinical Nurse Supervisor, Clinical Nurse Specialist and staff, covering vacation/FMLA leaves within the Nursing Surgical Admin units, as well as performing routine administrative activities.  This person performs advanced, diversified and confidential secretarial and administrative duties requiring broad comprehensive experience, skill and knowledge of organizations policies and practices.  Prepares and submits monthly and biweekly payroll generated from One Staff data. Has payroll reviewed and signed by Clinical Nursing Director of unit, in time to meet payroll deadline. Reviews Gross Pay Register (GPR's) and seeks adjustments when necessary. Follows up with staff involved, collects productivity, payroll, and attendance data. Approves changes in staffing/scheduling of staff. Prepares and submits travel, hosting and tuition support requests. Completes projects and other duties as assigned by Clinical Nurse Director.

Required Qualifications*

  • Minimum of 5 years relevant business office experience in an administrative capacity is required.
  • Must be detail oriented and organized with demonstrated ability to prioritize and multi-task.
  • Demonstrated success with managing complex and long term projects.
  • Strong administrative assistant skills and be proficient in advanced Microsoft Word, Excel and Power Point.
  • Must have the ability to compose and produce professional correspondence.
  • Candidate must be able to schedule appointments using standard e-mail software.
  • Previous experience in payroll and HR support.
  • Must demonstrate excellent verbal and written communication skills.
  • Must be able to exercise considerable discretion and independent judgment.
  • Capable of analyzing complex information requests and determining complex trends.
  • Demonstrated customer-focused interpersonal skills.
  • Ability to perform at a high level within a team setting with a strong willingness to support co-workers and staff.
  • Demonstrated positive work ethic and strong sense of teamwork/problem solving with co-workers.
  • An Associate Degree or equivalent combination of education and experience is necessary.

Under FLSA, incumbents in this position are nonexempt.

Desired Qualifications*

  • Considerable experience in performing responsible administrative assistant duties or an equivalent combination of education and experience. 
  • Experience with M-Pathways, One-Staff and Finance BI. 
  • Web skills, bookkeeping, accounting, or financial experience.

Background Screening
