Summary

The Department of Anesthesiology, Pain & Opioid Research, is seeking an outstanding Administrative Assistant Senior to join our team.

Provide high level support to senior level research faculty and assist manager with research projects and tasks. The ideal candidate will work as a contributing member in a fast paced, service-oriented environment.  The assistant will work independently and proactively to support faculty and teams. A responsible work ethic with accountability, and an aptitude to make independent decisions when appropriate, as well as the ability to work as part of a team is essential.

Responsibilities*

  • Provide administrative and calendar management support to the Senior Associate Chair for Research; Executive Director, Pain & Opioid Research; and other research faculty as needed. 
  • Assist with deadline tracking for presentations and junior faculty mentoring.
  • Assist with coordinating itineraries and day of visit for guest lecturers and visiting professors.
  • Assist with writing a variety of correspondence including faculty and medical school recommendation letters and tracking due dates.
  • Maintain faculty CV in Elements.
  • Prepare travel and hosting reimbursements through Concur and PeoplePay.
  • Coordinate travel plans and hosting as needed.
  • Provide assistance with meeting preparation and follow up for both internal and external constituencies.
  • Assist managers with scheduling and planning large meetings, appreciation lunches, retreats, and other special events.
  • Support onboarding and offboarding process for staff.
  • Provide administrative cross-coverage support within research team.
  • P-Card reconciliation.
  • Assist research teams with expense reimbursements, ordering and receiving supplies, and honorarium/incentive payments.
  • Other duties as assigned.

Required Qualifications*

  • Associate degree or equivalent combination of education and experience. 
  • Minimum of four years progressively complex administrative experience. 
  • Must be detailed oriented, organized with demonstrated ability to prioritize work assignments and complete tasks in a timely manner. 
  • Able to utilize tracking and follow up skills to monitor and coordinate large volume of work. 
  • Proficient in Microsoft Office Suite. Proven ability to meet deadlines and produce detailed and accurate work. 
  • Demonstrate excellent verbal/written communication skills. 
  • Previous experience working with faculty and maintaining calendar appointments. 
  • Ability to exercise a high-level of initiative, discretion and judgment regarding sensitive and confidential matters. 
  • Excellent interpersonal skills and the ability to work independently and collaboratively with others in a diverse team setting.

Desired Qualifications*

  • Bachelors degree or equivalent combination of education and experience.
  • Previous experience with senior level faculty or research projects
  • Familiarity with UM policies and procedures as it relates to HR, procurement, or reimbursements. 
  • Knowledge of University systems: M-Pathways Financials and Physical Resources, Marketsite, PeoplePay, Concur.

Work Locations

The onsite location for this position is at the North Campus Research Complex (NCRC), Plymouth Road, Ann Arbor.

This position may be eligible for flexible work opportunities at the discretion of the hiring manager and faculty. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the team, throughout the course of employment. This position works both onsite and remotely based on the business needs of the faculty and team.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
