Summary

The Administrative Assistant, Senior, supports the administrative needs of the C.S. Mott Children?s and Von Voigtlander Women?s Hospitals (CW) administrative staff.   The Administrative Assistant, Sr. must exercise considerable discretion and independent judgment and possess highly developed organizational and communication skills and a commitment to UMH core values, including service excellence. Position reports to ACOO ? CW.  

Responsibilities*

Work closely with the CW operations team in a manner that facilitates effective interactions with diverse stakeholders.  Serve as the face and voice of CW Administration to many stakeholders, using well-developed communication skills and a strong commitment to service excellence.  Provide support to multiple team members.

Coordinate complex meetings and provide staff support for various committees, including preparation and distribution of meeting materials, coordination of meeting participants, management of AV equipment during meetings, and creating meeting agendas and minutes.  Schedules and maintains calendar of appointments, meetings, and travel itineraries, and coordinates related arrangements. Coordinate travel as needed and reconcile p-card transactions.  Ability to resolve routine and complex email and scheduling inquiries. Prepares and distributes minutes of meeting. Create and edit presentations in collaboration with the administration team.

Maintain payroll static groups and assign new employees to groups as needed. Run and review payroll queries to assure that all time is properly recorded, submitted, and approved. Resolve payroll and finance issues by payroll and finance deadlines. Reconcile payroll and make payroll corrections as needed. Provide delegate approvals as needed.

Work closely with the CW support staff to prioritize projects that cross administrative boundaries. Provide backup as needed and depth of knowledge of the work related to CW administration.

Participate in and support events planned by CW Administration and support other staff as needed.

Other duties as assigned.

Required Qualifications*

  • Associate degree or an equivalent combination of education and experience is necessary
  • High functioning experience with meeting coordination
  • Documented excellent verbal, written, and interpersonal skills
  • Demonstrated excellent organizational and multi-tasking skills with attention to detail, timelines, and prioritization.
  • Ability to work independently and as part of a team
  • Proficient in the use of Microsoft Word, Excel, PowerPoint, Outlook, and others
  • Ability to travel between campus buildings
  • Ability to work flexible hours when needed

Desired Qualifications*

  • At least five years of relevant experience in administrative support
  • Reasonable knowledge of University of Michigan policies and procedures
  • Strong writing skills

Background Screening
