Job Summary

The College of Pharmacy's Office of Finance and Human Resources (OFHR) is looking for a Human Resource Generalist to join our diverse and dynamic team. You will report directly to the Senior HR Officer.

Reporting directly to the Senior HR Officer, you are responsible for a portfolio of academic and staff areas, the daily administration of HR procedures for faculty, staff and lecturers (bargained-for), with a focus on full-cycle appointment administration and employment and recruitment processes. You will interpret and apply policies, practices and programs, including the respective collective bargaining agreements. You will collaborate with the Senior HR Officer to provide support to the OFHR team and teams within the College of Pharmacy (COP), University Human Resources (UHR), Academic Human Resources (AHR), and other HR partners to enhance COP's inclusive and positive work environment, enhance organizational effectiveness, guide desired outcomes, ensure the communication and implementation of HR procedures and introduce improvements to HR operations by incorporating best practices.

  • The College of Pharmacy promotes a positive work environment and offers flexible work arrangements, including onsite, hybrid (mix of onsite & remote), and remote work possibilities, depending on specific job requirements and other factors.  Specific details can be discussed with the hiring manager.

Responsibilities*

Manage HR administrative tasks and transactions-35%

  • Independently manage appointment changes, leave requests, terminations, additional pay requests, and job changes for faculty, staff, and lecturers.
  • Handle the processing of lecturer appointments, considering workload and salary per the LEO contract.
  • Oversee appointment statuses, visa matters, and HR-related issues, including policy changes, and provide suitable recommendations.
  • Facilitate and track leaves of absence, FMLA, and other types of leaves, providing guidance to employees and supervisors and deciding on appropriate actions based on circumstances.
  • Maintain employee documentation for hybrid and remote work arrangements.
  • Administer the effort certification process for faculty, staff, and students.
  • Undertake special projects.

Recruitment Responsibilities-30%

  • Collaborate with hiring managers, administrative personnel, and colleagues to facilitate and enhance the efficiency of the recruitment and onboarding process for new hires within the organization, including instructional faculty, research faculty, lecturers, administrative staff, and research staff. This will include the full cycle hiring process from position request to onboarding.

Onboarding and Offboarding Procedures-15%

  • Onboard new hires to the College of Pharmacy in collaboration with the OFHR team and colleagues. Work to create efficiencies and improve the onboarding and offboarding processes for faculty and staff, undertaking a range of tasks to provide a seamless transition.

Immigration Matters-10%

  • Oversee the processing of J-1, H-1B, and Green Card petitions and verify the eligibility of foreign nationals. Foster communication with faculty, staff, the International Center, SSC staff, and other partners to ensure accurate completion of immigration paperwork. Follow guidelines set by the College, the University of Michigan, and federal regulations while handling immigration processes.

Additional HR Responsibilities-10%

  • Create ad-hoc reports, special projects, and strategic plans using tools like Business Objects, Tableau, and other university data systems.
  • Participate in departmental teams to identify opportunities for process improvements and efficiencies.
  • Create resources such as job aids, instructional documents, and procedural guidelines to communicate policies, procedures, and best practices.
  • Collaborate with colleagues in OFHR to ensure knowledge sharing, cross-training, and coverage during periods of absence or increased workload.
  • Support Diversity, Equity, and Inclusion (DEI) programs.
  • Fulfill the role of I-9 and e-Verify compliance officer for the college.

Required Qualifications*

  • Bachelor's degree in human resources, business administration, or equivalent combination of education and experience.
  • 5+ years of professional experience in human resources with experience partnering with leadership, managers, and employees to promote an inclusive and positive culture.
  • Experience interpreting and implementing HR procedures and University of Michigan policies.
  • Experience using HR management systems (HR PeopleSoft/Wolverine Access) and business objects for ad-hoc queries.
  • Experienced in process improvement.
  • Experience processing immigration requests (specifically J1 & H1B visas).
  • Experience with FMLA, ADA, HIPAA, FERPA, and other HR policies.
  • Proficiency using MS Office (excel, word, outlook)
  • Must handle sensitive and protected information with confidentiality.

Salary will be commensurate with qualifications and experience of the selected candidate. A higher salary may be possible for well-qualified candidates.
