Summary

The Administrative Assistant supports the work of Matthaei Botanical Gardens and Nichols Arboretum by providing support to the Director and staff, including: meeting scheduling, managing calendars, managing access to space and resources, ITS liaison and other related tasks.


The Administrative Assistant will be a lead for financial transaction processing by managing financial payments for the department, including guest travel arrangements and reimbursements, and invoice payments. This includes constant communications with both accounts payable and accounts receivable regarding statements of account reconciliation, purchase orders, non-PO vouchers, and other procurement issues.


This is a hybrid position and in-person work will be in Ann Arbor, MI. You will report to the Budget, Finance and Grants Lead.

Responsibilities*

  • Fiscal Processes: Initiate and complete payments and reimbursements, payment tracking, running financial and deposit reports, processing journal entries, cash handling, deposit preparation, process gift checks
  • Administrative Operations: Maintain office supply inventories, place orders, manage logo gear inventory and distribution, routine filing and sorting mail
  • Technology: manage computer inventory and distribution, maintain calendar access and listservs
  • Schedule meetings and assist with special projects and events
  • Manage communications and logistics support for the Education Team, including scheduling transportation for academic groups to visit the Gardens
  • Other duties as assigned 

Required Qualifications*

  • High school diploma, or equivalent combination of education and experience
  • Minimum of three years of progressively responsible administrative experience in an office or university setting
  • Previous cash handling experience
  • Demonstrated experience scheduling travel, meetings, programs or events
  • Experience with business or finance systems and databases

Additional Information

  • Compensation: $43,000 - $47,000
