Summary

The Mary A. Rackham Institute (MARI) at the University of Michigan is seeking a front office supervisor. MARI is comprised of three units, Psychological Clinic, University Center for the Child and Family, and University Center for Language and Literacy. Each clinic focuses on a different aspect of mental, developmental, and literacy health. We offer services such as individual and group therapy, one-on-one intensive sessions, assessments, testing and evaluations, and resources like free workshops to help members of our community.

As part of MARI's central office team, you will work alongside committed and knowledgeable colleagues who ensure compassionate and helpful interactions with MARI clients. Day-to-day responsibilities include: 

  • Supervise front desk and call center staff (see below).
  • Serve as liaison to clinical staff and trainees in each respective clinic by advising about and enforcing clinical, front-line billing, and administrative processes. 
  • Support front desk staff welcoming clients for check-in and check-out. This includes collecting co-pays and scheduling appointments for new and existing clients.
  • Audit client intake requests and client and clinical schedules for accuracy.
  • Manage clinical workshop(s) registration.
  • Process insurance verified charts.
  • Facilitate release of information requests.
  • Process client discharges.
  • Manage interactions with disgruntled clients to ensure resolution and maintain a positive client experience.
  • Serve as an active member of the building incident response team (BIRT).
  • Place as-needed orders for office supplies.
  • Additional duties as needed.

Supervision of MARI's call center includes tasks like: 

  • Oversee day-to-day functioning of all front desk staff and call center.
  • Manage schedules and approve time off requests and timesheets.
  • Onboard and offboard new staff including coordination of paperwork. 
  • Performance management.

Participating with Teams and Committees

  • As part of the MARI team, you will also be expected to participate in all-staff town hall meetings, senior/leadership team meetings, and billing meetings to ensure effective clinical operations.
  • You will potentially serve on additional committees like strategic subcommittees and/or process improvement projects as time allows.

Required Qualifications*

  • 2-3 years of healthcare and/or administrative experience.
  • 1 year of supervisory experience.
  • Proven expertise in project management, critical thinking, and problem-solving.
  • Strong interpersonal communication skills with a track record of leading teams.
  • Demonstrated commitment to valuing diversity and actively contributing to an inclusive working and learning environment.

Desired Qualifications*

  • Experience with Qualtrics, electronic medical record systems, Google products, and Zoom is preferred.
  • Ability to work effectively across organizational lines and with diverse personalities. 
  • Capability to excel in a dynamic environment requiring high energy, resilience, and meticulous attention to detail.

Work Locations

The position has the opportunity to be hybrid, pending clinic/MARI needs.
