Summary

The University of Michigan's Facilities and Operations (F&O) Operational Support is seeking an experienced Project Associate Manager who thrives in a fast-paced, team-focused work environment. The successful candidate will assist with: the F&O training tracking, in-person scheduling, training vendor coordination, campus outdoor events permits, and coordination of permits/licenses. This position will work closely with various team members to meet each project's objectives and deadlines. As a skilled Project Associate Manager, this high-volume role will utilize relationship management skills, creative problem solving, understanding of policy and procedure, identify potential risk management issues, and techniques to coordinate and communicate (both verbal and written) with F&O staff, the broader university community, the City of Ann Arbor, and outside vendors. As a critical member of the Training and Events team, this position will contribute through the support of important departmental and university initiatives.

This is a hybrid position with a standard schedule of two in-person days and three remote days per week, with some flexibility based on the needs of managing projects onsite.

NOTE: This is a 3-year fully benefit-eligible term-limited position.


 

Responsibilities*

     Assist in managing the In-Person Persona Compliance Training for approximately 1,700 Facilities and Operations staff: support in negotiating vendor pricing, ensuring vendor training meets requirements, provide input, document requirements, tracking, reporting, and conducting regular gap analyses of business practices, policies, and activity with Environmental Safety and Health, Facilities and Operations Training's Data Team, and Facilities and Operations Leadership.

     Support the permitting of over 800 outdoor events on campus which includes assisting in mitigating risk, ensuring safety, monitoring the tracking system, managing deadlines, information and materials used to create permits, scheduling outdoor space, maintaining efficient movement of traffic and pedestrian flow, identifying ADA issues and safety concerns and address with the appropriate office.

     Communicate with the university community, the City of Ann Arbor, and external stakeholders on outdoor events before, during, and after each project.

     Develop and maintain professional relationships with a wide variety of constituents across campus, city, and visitors.

     Audit events as needed to ensure conformance with event permitting requirements, and that the condition of the venue is protected.

     Produce activity reports for required compliance in-person training and outdoor events to leadership for management and planning purposes.

     Coordinate regularly reviewing and updating the Facilities and Operations Training and Events website to improve user experience.

     Contribute to department manager with strategic planning function as needed.

     Other duties as assigned.

Required Qualifications*

     High school diploma or equivalent

     Minimum two years of experience in managing multiple and simultaneous complex projects

     Demonstrated commitment to organizational principles of being respectful, collaborative, solutions-based, and proactive

     Demonstrated ability to successfully drive projects with internal and external partners

     Exhibit initiative and undertake responsibilities that are broad in scope, with supervision, while exercising independent professional judgment.

     Agile self-starter who takes initiative in a fast-paced and dynamic environment

     Confident and effective communicator across all levels of the organization, including the ability to conduct public speaking

     Must be able to flex working hours to meet event and training needs

     Operates with discretion and confidentiality at all times

     Ability to travel frequently across the University of Michigan Ann Arbor Campus     

     Proficiency in Word, Excel, PowerPoint, Google Suite, Zoom and other technology platforms

Desired Qualifications*
