Summary

The Community Events Manager will be a member of the Marketing and Communications and will report to the Director of Creative and Brand Experience. This position's priority will manage several events for a mostly internal School of Public Health audience, including New Student Orientation, Winter Celebration, and Public Health Honors. You will also partner with main internal groups (Development, DEI) for planning events. You will also assist with the external events in the Marketing and Communications team portfolio.

Responsibilities*

  • Event Logistics Leadership and execution
    • The Community Events Manager designs and executes experiences to support school strategies and goals in collaboration with Marketing and Communications colleagues and other event partners with a primary focus on engaging internal school audiences.
    • Design and implement logistics for several annual events for our school community including New Student Orientation, Winter Celebration, Public Health Honors, and Staff Appreciation Celebration. This includes space planning, vendor relations, contract negotiations, event design decor, staffing, and digital experiences.
    • Be the primary events partner with internal administrative units like Development/Alumni Relations and Diversity, Equity, and Inclusion for their school-wide events and select external engagements.
    • Design events that are accessible and inclusive to all attendees. 
    • Collaborate with audio/visual vendors to create seamless multimedia experiences.
    • Oversee the design, production, and distribution of digital and printed materials including websites, invitations/registrations, programs, and other promotional materials.
    • Oversee on-site staff, technical staff for virtual and hybrid events, and vendors during events. Provide event staff with clear roles, responsibilities, accountabilities, mentoring, and support to be successful. 
  •  Collaborative Teamwork and Partnership
    • Assist the External Events Manager through thought partnership and event staffing.  
    • Responsible for comprehensive entry and tracking of event tasks in the project management system to ensure transparency and accountability.
    • Partner with Marketing and Communications colleagues to create internal communications plans, and content strategy for post-event coverage. 
    • Implement timelines and delegate tasks to team members and staff while maintaining event ownership and the strategy.
  • Budget
    • Develop budgets for all managed events to ensure resource allocation, and reconcile all vendor payments. 
    • Be the primary contact for Community Events-related purchasing, expense reporting, and budget reconciliation.
    • Identify cost savings and efficiencies through planning and collaboration with team members and vendors.

Required Qualifications*

  • A bachelor's degree is required and two years of events management experience.
  • The ability to initiate and analyze strategic plans and programs that support the school's mission, brand, and strategic goals.
  • Sound judgment to determine when information needs to be advanced to other decision-makers.
  • Demonstrated ability to work with colleagues in a team environment.
