Summary

Support administration of Medical Education and Graduate Medical Education Programs in the Department of Pathology.  Provide standard administrative assistance to program administrators in multiple areas for program accreditation and trainee compliance as well as a variety of projects that provide administrative and operations functions of the Division of Pathology Education.

Responsibilities*

Standard Support:

  •          Collect and distribute mail for Education Suite (incudes admin staff and trainees)
  •          Maintain and order office supplies
  •          Arrange equipment maintenance/service
  •          Coordinate facilities service requests
  •          General administrative tasks

Program Specific Support (residency, fellowship, advanced clinical training, medical students)

  •          Update and maintain current trainee information for multiple databases
  •          Update and maintain trainee alumni database
  •          Update and maintain program faculty database

?         Daily support of 8am didactics

o   Posting on department events calendar

o   Setting up room/zoom/recording

o   Maintain Continuing Medical Education sessions and monitor compliance in MiCME

o   Weekly reminder emails

  •          Monitor and submit trainee work hours for MCard reimbursement (BlueBucks)
  •          Seasonal recruitment support - general communications, organizing applications, compiling documentation, interview day(s) support
  •          Seasonal onboarding/orientation and off boarding support
  •          Seasonal assistance with required exam proctoring
  •          Maintain equipment inventory (laptops, microscopes, scrubs/lockers)
  •          Support medical student orientation and curriculum as needed

Event Support (includes conferences, new trainee orientation, welcome reception, graduation dinner, external exhibits)

  •          Reserve venues and rooms for events
  •          Arrange catering as needed; complete and submit hosting forms
  •          Prepare and distribute communications and materials for events
  •          Assist with A/V for meetings or conferences
  •          Assist with coordinating participation at annual exhibits
  •          Assist with coordination of speakers for educational lectures
  •          Maintain schedule of educational events
  •          Manage CME for Pathology daily conferences and special events such as New Frontiers, Forensic Conference, CP Symposium, etc.

Other Learners Support

?         Observer/visitor scheduling, onboarding and documentation

o   Meet observers at the entrance, show them around

o   Assist with documentation associated with visitors (application, badge, parking)

o   Maintain master educational observer/visitor schedule

Required Qualifications*

  •          Associate degree or equivalent combination of education and experience
  •          3-5 years administrative/professional experience
  •          Demonstrated high-level interpersonal skills and positive service-oriented attitude
  •          Ability to exercise initiative, independent judgement, diplomacy, and confidentiality
  •         Can work effectively independently and collaboratively as a member of a team
  •          Excellent organizational skills and a high degree of attention to details and accuracy
  •          Strong verbal and written communication skills
  •          Ability to manage competing priorities and meet deadlines

Desired Qualifications*

  •          Proficiency with Microsoft Office Suite products and Google tools or a similar product
  •          Experience with videoconferencing applications such as Zoom
  •          Event planning/support experience
  •          Graduate Medical Education experience
  •          Knowledge of university policies, procedures and regulations
  •          Bachelor's degree or equivalent combination of education and experience

Work Locations

  • Onsite location is 2800 Plymouth Road, NCRC Building 35, Ann Arbor
  • Eligible for remote/ flexible work opportunity at discretion of manager
  • May occasionally provide support at University Hospital, Department of Pathology
  • Hours  7:30am - 4pm, M-F

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
