University of Michigan Health Supply Chain Services is seeking a highly organized and proactive full time, Senior Administrative Assistant to support our corporate team based in Ann Arbor.  This team member will be responsible for providing comprehensive administrative support to ensure the efficient operations for all supply chain teams.  The ideal team member. will work with high intensity and integrity, possess intellectual curiosity, and demonstrate a passion for excellence.

Responsibilities*

  • Scheduling and Calendar Management: Manage calendars, schedule meetings, and coordinate appointments for supply chain teams working out of the Ann Arbor location.
  • Documentation and Asset Management: Maintain accurate and up-to-date records of supply chain administrative processes and functions as well as digital assets owned and used by supply chain teams.
  • Transaction Management: Maintain accurate and up-to-date records of supply chain transactions, including purchase orders, invoices, and delivery schedules.
  • Vendor Management: Support vendor compliance through monitoring and management of credentialing, scheduling visits, and administrative action to address vendor non-compliance.
  • Travel Arrangements: Coordinate travel logistics for supply chain personnel, including booking flights, accommodations, and transportation as needed.
  • Staffing support - Provide support for managers by managing new hire coordination and maintaining personnel files and records.
  • Expense Management: Process expense reports, track departmental budgets, and reconcile invoices to ensure accurate financial record-keeping.
  • Cross-Functional Collaboration: Collaborate with other administrative assistants and departments within the organization to support interdepartmental initiatives and projects.
     

Required Qualifications*

  • High school education or equivalent.
  • 4+ years administrative experience as an administrative assistant in the healthcare industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
  • Exceptional communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Strong analytical and problem-solving abilities, with a proactive approach to identifying and resolving issues.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
