Job Summary

The facilities coordinator is responsible for maintaining operational excellence in all aspects of building operations as it relates to facilities management, audiovisual technology, and event execution for Detroit Center. The person in this position must demonstrate and ensure the delivery of superior customer service to conference guests, building tenants, and all users of the facility and its services.  

This position is 20 hours a week.

Responsibilities*

  • Serve as the primary point of contact for all facilities-related matters, handle email requests for information, complaints, room requests, redirect guests to other departments where appropriate, coordinate with other departments to ensure a high level of customer satisfaction.
  • Participate in and direct the planning, scheduling and execution of all events hosted at Detroit Center, including reserving rooms, creating setup diagrams, and communicating with all interested parties.
  • Manages scheduling of Detroit Center meeting rooms and meeting room setup
  • Primary liaison for building services this includes coordinating AV install, setup, and maintenance.
  • Supervises room setup for staff and assign residential office and cubicle space.
  • Serves as Fire Marshall and Security Liaison this includes being a representative of the center emergency response team. Attend meetings on behalf of center this includes building services meetings and facilities meetings.
  • Open and close the Detroit Center Monday through Saturday, as needed
  • Provide excellent customer service as the first point of contact at the Detroit Center font desk, including completing all applicable administrative tasks. 
  • Manages requests for keys, furniture repairs, kitchenette issues, and other maintenance issues. Perform daily walk through and visual inspection of department space.
  • Assist faculty, staff and students with maintenance and service requests. 
  • Process work order requests and follow up through to completion. 
  • Assist with telephone orders (new, moves, repairs) 
  • Complete Annual Departmental space surveys 
  • Create and maintain records of department space utilization. 
  • Maintain department directory and coordinate online and other directory updates with others as necessary. 
  • Assist with department renovation projects including information gathering, recommendations, logistics, Plant, AEC, and vendor requests.
  • Move and arrange offices for faculty and staff and special events.
  • Organize property disposition and moving and trucking requests. 
  • Organize annual department clean-up.
  • Gather and evaluate feedback on departmental performance, recommend changes and improvements to procedures.  
  • Oversee access to and use of daily calendar using proprietary scheduling software.

Other Duties as Assigned


While the duties are priority for this position, all staff members are expected to be available to support the effective functioning of UMDC in other ways as needed.

Required Qualifications*

  • Minimum of 2 years previous work experience in facilities operations or equivalent experience in a similar field.
  • High School diploma or equivalent is required.
  • Ability to routinely move equipment and furniture up to 50 pounds.
  • Demonstrated ability to manage multiple tasks, meet multiple deadlines and work collegially and collaboratively in a team environment.
  • Willingness to contribute to a positive work community by approaching work with diversity, equity, and inclusion in mind; treat others with respect, dignity and in a manner where individuals feel they belong; listen, value feedback, and learn from the perspectives of others.
  • Exceptional customer service skills and ability to communicate clearly and professionally with a diverse clientele base.
  • Proven ability to use sound judgment and critical thinking while trying to find solutions to situations that arise suddenly.  Ability to think clearly and solve problems quickly and efficiently.
  • Demonstrated ability to exercise discretion with sensitive and confidential information is required.
  • Ability to successfully work independently as a critical member of a team, while demonstrating cooperation and flexibility.
  • Able to efficiently utilize: Microsoft Office (Word, Excel, Google Docs, Google Sheets) and various computer programs as needed.
  • This position may involve traveling to various locations on and offsite to conduct business and deliver materials.

The University of Michigan Detroit Center is located inside Orchestra Place in Midtown Detroit.
