Job Summary

Provide medical record support in an academic administrative setting.  Utilize technical and business vocabulary, detailed knowledge of University computer systems, and proficient knowledge of computer software programs (Microsoft Word, Excel).  Create referral shell requests via MiChart for new patient outpatient consult requests routed from fax server.  Image in all incoming outside medical records in MiChart.  Upload all outside radiology CDs into Life Image system. Respond to inquiries regarding matters of a sensitive or confidential nature.  Obtain and track medical records for clinic appointments. Provide office and back up support service as well as office coverage.  Use effective communication skills and relate positively with patients, faculty, staff, and others within a diverse setting.

Responsibilities*

  • Advanced MiChart responsibilities
  • Maintain responsibility for MiChart grids
  • Manage complex billing and referral work queues
  • Template editor, including provider template submission & changes
  • MiChart Reporting functions; ability to run MiChart reports and analyze as needed
  • Oversee assigned MiChart In-Basket
  • Coordinate faculty schedules
  • Maintain Resident staffing schedules
  • Maintain up to date and detailed scheduling requirements for provider templates
  • High-functioning scheduler has the ability to make complex scheduling decisions and coordination across departments
  • Serve as lead for entire clinic to provide room allocation for urgent and routine add on clinics
  • Provide complex clerical support services
  • Process Provider time off requests
  • Obtaining and tracking pre-appointment records; including but not limited to lab and diagnostic results, appointment clearances, progress notes, etc.
  • Prior authorizations for testing (Genetic and Molecular), medications and DME
  • Manage clinical databases, if applicable
  • Responding to concerns, questions, and complaints from patients
  • General Office Support
  • Maintain supplies in department
  • Prepare and distribute patient education materials and other general office functions i.e. Fax server monitoring, copy and image documents etc.
  • Other general office functions
  • Serve as a mentor for Patient Services Assistants and Associates
  • Assist in onboarding new team members, providing resources to facilitate the learning of position.
  • Manage, coordinate, and maintain external relationship with Outreach clinics (non-um clinics), if applicable
  • Participate in team/clinical meetings
  • Cross coverage for PS Assistant and Associate roles

Required Qualifications*

  • High School diploma or equivalent education.
  • A minimum of three to four years' clerical experience necessary
  • Knowledge of PCs and desktop software
  • Proficient user in Microsoft Word, Excel, and Power Point
  • Basic experience with e-mail systems and calendaring systems
  • Proficient in grammar, spelling, and punctuation
  • Basic medical terminology competency is necessary
  • Demonstrated friendly, warm, articulate telephone manner with a clear, well-modulated speaking voice
  • Strong interpersonal and communication skills are necessary
  • Ability to manage stress effectively

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
