Department Summary

The University of Michigan (U-M) University Health & Counseling  (UHC), a unit of Student Life (SL), is an AAAHC-accredited outpatient multispecialty health clinic that serves a large and diverse student body of more than 45,000 students, as well as U-M faculty and staff. UHS provides direct patient care through its primary care and specialty clinics, and contributes to public health, epidemiologic surveillance, health education and promotion on campus. UHS reports administratively to the AVP of Student Life for Health and Wellness, uses the same instance of Epic (MiChart) as Michigan Medicine, and closely collaborates with Michigan Medicine and public health agencies.

UHC provides clinical services throughout its primary care and specialty clinics, as well as health and wellness education and promotion. Specialty clinics include: Allergy, Dermatology, Eating & Body Image Concerns, Eye Care, Gynecology & Sexual Health, Nutrition, Physical Therapy, Psychiatry, Sleep, Social Work, Sports Medicine, and Travel Health. Patient care is additionally supported through an on-site CLIA high-complexity laboratory, pharmacy and radiology suite. Annually UHC completes >90,000 clinician visits, >4,900 radiologic studies, >35,000 laboratory tests, and fills >25,000 prescriptions.

Job Summary

To provide all patient services associate services for a clinical practice in an ambulatory setting; facilitate the flow of patient activity and medical information in the clinic. As part of our clerical team at University Health & Counseling , you will have the unique opportunity to provide care for U of M students, faculty, and staff. Not only will you showcase your skills as a Patient Services Associate, but you will also have an opportunity to build relationships with Physicians and Advanced Practice Providers. At times you may be required to float to other departments within UHC. You will play an integral role within the University, and specifically within UHC.
 

Responsibilities*

Clinical Support (60%)

  • Assist in managing clinician schedules to accommodate the needs of the patient population. This often involves coordinating with all clinical staff
  • Schedule/Reschedule patient appointments.
  • Verify patient eligibility U of M enrollment, create appropriate guarantors for patient accounts
  • Contact patients regarding follow-up care, prescriptions and return visits.
  • Identify and resolve insurance coverage and UHS health service fee discrepancies such as patient/subscriber name and date of birth mismatches
  • Offer and/or obtain signatures for consents/forms (privacy practices, assignment of medical benefits, general consent to receive healthcare services, advance directive, depression/alcohol screening forms and waivers
  • Update billing providers for Nurse Practitioners and Physician Assistants
  • Collecting copays, service, fees, and medical equipment charges
  • Monitor appropriate work queues
  • Answer billing questions for walk-in clients
  • Facilitate urgent or walk-in patient flow and direct calls to nurses for patients needing immediate assistance
  • Perform reconciliation of contact lens insurance billing procedure to Davis Vision, enter charges and payments
  • Back up phone coverage for Call Center
  • Act as primary point-of-contact person for 146 Emergency Response Team.
  • Receive returned rented items and provide receipt to patient for reimbursement
  • Sort and distribute mail as delivered within the clinic.
  • Maintain general office supplies in respective area(s).
  • Update patient demographics.
  • Enter and update full patient registration, including verification of insurance information.

Clinic Operations 30%

  • Proactively build relationships with patients through education and guidance, including regular contact in order to assist in identifying barriers to care
  • Front desk responsibilities including checking in and checking out patients
  • Support patients initial in-take needs such as complaints, late arrivals, walk-in patients, etc.
  • Explain UHS policies and procedures, payment, scheduling, use of urgent / walk-in services, etc.
  • Process medical excuses according to protocol.
  • Payment posting, received in person and/or by mail.

Other - 10%

  • Provide support to other members of the UHS team, when necessary
  • Provide backup support for other Patient Service Associates
  • Perform other special projects, clerical support and duties as assigned.
     

Required Qualifications*

  • High School or GED
  • One (1) year of clerical experience
  • Knowledge of medical terminology
  • Proficient computer and data entry skills
  • Financial/Budgetary Responsibility

Additional Information

Working conditions

  • Hours are 8-5 Monday - Friday, including intermittent Saturdays.

Physical requirements

  • This role is front facing to our patients and families, at times on the phone, though primarily spent at the desk for long periods of time.

This role may have reporting obligations under Title IX and Clery.

Authorization to work in the U.S. is a precondition of employment and applicants for this position will not be sponsored for work visas.  

Salary may vary depending on qualifications, experience, and education of the selected candidate.

Relocation will not be offered for this position.
